The Role:
We are seeking a detail-oriented and proactive Assistant Administrator to provide essential administrative support to two agents and the Managing Director of the company. The candidate will play a key role in maintaining the smooth operation of the agency's booking and show-related processes, ensuring accuracy, timeliness, and professionalism in all aspects of coordination and communication.
Candidate must be able to work out of the office in New York City.
Key Responsibilities:
*Ticket Reporting: Input and distribute daily/weekly ticket counts for ongoing shows and tours.
*Tracking & Organization: Track contracts, deposits, and correspondence to ensure timely follow-up and completion.
*Data Entry: Enter offers and settlement figures into the company database with accuracy and attention to detail.
*Promoter Communication: Assist with sending confirmation emails and key information to promoters.
*Contract Support: Aid in drafting, proofreading, and distributing performance contracts.
*Itinerary Creation: Generate and update artist itineraries.
*Route Sheets & Grids: Maintain and update route sheets, tour grids, and other internal planning documents.
*File Management: Organize and maintain confirmed show files both digitally and physically.
*Research: Conduct venue and promoter research to support booking decisions and strategy.
*Executive Support: Schedule meetings and manage travel arrangements for the President of the company.
*General Administrative Tasks: Provide additional support and perform other duties as assigned.
Qualifications:
*Prior administrative and music industry experience preferred.
*Highly organized with strong attention to detail.
*Proficient in Microsoft Office (Word, Excel) and/or Google Workspace (Sheets, Docs, etc.) and comfortable using databases and CRM systems.
*Strong written and verbal communication skills.
*Ability to handle confidential information with discretion.
*Capable of managing multiple tasks and priorities in a fast-paced environment.
*Flexible, team-oriented, and proactive in solving problems.
