Job Purpose:
The position will manage the day-to-day administrative activities for the Vice President, Communications, and the Executive Director of Licensing. The ideal candidate will balance the needs of two executives and needs for both the Communications and Licensing departments. Responsibilities include but are not limited to word processing, handling phone calls, scheduling meetings, preparing and submitting expense reports, making travel arrangements and maintaining a variety of status reports and charts, and identifying as well as anticipating needs to assist in the process of everyday work to maintain a fluid work environment.
In addition, perform various duties for each department including but not limited to: creating, refining, and tracking the internal and external publicity for all the Banijay Americas Companies (10 total).
The position will also involve trade and consumer publicity tasks, such as press outreach on behalf of Banijay America's original programming. On the licensing side, the position will perform various duties including but not limited to preparing development decks, assisting with projects for all disciplines and coordinating communications and documents both internally and externally as it pertains to different tasks. Qualified candidates must be enthusiastic, passionate, flexible, and creative.
Essential Responsibilities:
• Coordinate and prioritize daily schedules; arrange meetings and conference calls
• Support department with show consumer publicity efforts, internal communications and special projects as needed
• Answer, screen, and direct high volume incoming telephone calls for the communications and licensing teams
• Make travel arrangements, both domestically and internationally; book hotels and transportation and create travel itineraries
• Prepare expense reports and create and track POs
• Create and distribute company-wide daily press clippings email
• Monitor trades and pull relevant news articles on company, shows, licensed consumer products launches and executives for bosses
• Pitch, secure and cover interviews for on-screen talent, producers and above-the-line crew
• Following trade impact lists and tracking potential press opportunities for executives
• Work and facilitate press events including conferences and company gatherings
• Draft various press materials including press releases, bios, and company newsletters
• Supervise media coverage and digital press efforts
• Facilitate gifting efforts on behalf of the company
• Manage any updates needed for company website
• Prepare development decks for licensing pitches
• Assist with the development and execution of licensing initiatives
Skills and Qualifications:
• Bachelor's Degree preferred
• Knowledge of the TV industry and the media that covers it
• Well-versed in the current industry, specifically television landscape
• At least one year of executive assistant experience in the entertainment industry
• Genuine interest in Public Relations and/or Consumer Products Licensing
• Ability to maintain confidentiality and professionalism in all situations
• Highly organized, with the ability to multitask, prioritize and meet deadlines, with an eye for details and accuracy
• Must be a self-starter, proactive, forward-thinking
• Must work well under pressure
• Exceptional people skills
• Superior writing and editing skills
• Ability to successfully coordinate multiple projects simultaneously
• Strong work ethic and communication skills
• Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)
• Knowledge of Adobe Photoshop, MailChimp, Canva, Word Press, TV Media Eyes and Cision is a plus
Eligibility Requirements:
• Must be willing to submit to a background investigation
• Must have unrestricted work authorization to work in the United States.
• Must be 18 years or older
Compensation Range:
• Position is budgeted for a compensation range of $48,000 - $52,000 Annually
