Assistant, Promotions
This role will provide administrative support for the Promotions Department
Responsibilities:
• Administrative Support
o Provide administrative support to the Senior Vice President of Promotions, Vice President of Pop Promotions and Marketing, National Director of Rhythm/Crossover Promotion, and Vice President of Adult Contemporary Promotions (Capitol)
o Answer heavy phones, calendar maintenance, book travel
o expense reports
o Book meetings/boardrooms /Schedule outside meetings (reservations, etc)
• Financial
o Code and process all invoices for department
o Maintain promotion spending log/Prepare weekly report of spending spreadsheet
o Follow up with A/P on invoices and rush payments
o Process purchase orders in ECS
o Arrange travel/budgets for contest winners in ECS
• Promotions
o Compile information from charts and airplay reports from BDS and Mediabase/create weekly promotion reports
o Create and maintain current list of stations for the Top 40
o Act as a hub for the department’s music priorities and have on-hand whenever a staff member needs
o Order CD stock for the department
o Send all music to BDS and Mediabase for entry in their database
o Collect weekly airplay additions from all promotion format heads, send out updates to the promotions staff
o Pull daily custom BDS and Mediabase airplay reports
o Organize and coordinate distribution information to ship CDs and other product to staff, radio, and VIPS according to the release schedule and promotion plan /Working with our outside vendor who maintains our mailing lists, and extracting custom mailing labels from the database, and electronically shipping labels to the distribution plant
o Utilize Nielsen Soundscan and Insight to pull sales reports, analyze, and send out to the department
o Work with the SVP, VPs, regional directors, and various radio promotion directors to coordinate/manage nationwide promotions and contests across all radio
Requirements:
• Bachelors Degree / 1-2 Years Experience
• Detail oriented/Strong ability to multi-task
• Working knowledge of Nielsen Soundscan, Insight, BDS, R&R, ECS, MediaBase
• Knowledge of Spotify, iTunes, All Access, Billboard, YouSendIt a plus
• Excellent computer skills with strong background in Microsoft Office Suite
• Demonstrated ability to operate in a fast-paced environment, responding to issues promptly with a strong orientation toward customer service and team work
• Strong organizational and time management skills, including prioritization and follow through
• Must have excellent writing, spelling and typing skills
• Time management/Organizational skills
• Must have a sense of urgency/willingness to work quickly and efficiently
• Able to comfortably converse with all types of people within the company and from the outside
• Good relationship building skills
• Self-starter and proactive
