Our client, an arts and entertainment company that creates immersive and interactive experiences, is looking for a Scheduling Manager to join their team at their Denver, Colorado location! In this role, the Scheduling Manager will create, manage, and maintain weekly schedules for staff from a variety of departments at their immersive arts exhibition. This role is vital to the exhibition and will provide much needed support by creating and optimizing work schedules dependent on staff availability while ensuring the exhibition is meeting the highest standard of operations. In addition, the Scheduling Manager will work with directors, managers, and assistant managers across a variety of departments to create, implement, and manage recurring work schedules to maintain appropriate staffing levels at all times and keep their exhibition running smoothly.
Responsibilities
• Complete weekly scheduling for a variety of departments based on expected visitation rates, staff availability, and manager requests
• Manage and own expectations related to labor hours for staff against budget commitments
• Investigate exhibition staffing needs and take appropriate action to correct and increase efficiency with proper communication
• Work collaboratively with department leaders to understand business needs as it relates to scheduling staff for a variety of positions
• Keep staff notified of schedule releases and deadlines
• Notify management and staff of any changes that occur to schedules
• Accommodate shifts in scheduling needs in correlation to visitation peaks and lows
• Identify potential staffing shortfalls and make recommendations to management and Human Resources.
• Create monthly staffing reports, reviews and analyzes trends to submit to Directors and General Manager
• Coordinates with HR to ensure scheduling accuracy based on new hires, absences, terminations.
• Identify opportunities for scheduling process improvement to drive operational efficiencies and employee satisfaction
• Support additional scheduling needs related to onboarding, training, etc.
• Monitor call outs and attendance exceptions to identify trends and recommend improvements to drive schedule performance
Requirements
• 2 years of experience in similar role (Scheduling Coordinator, Staffing Manager, Scheduling Analyst, etc.)
• 5 years of experience in an operations environment
• B.A. Degree, preferably in industrial engineering
• Familiarity with scheduling software, such as When I Work
• Knowledgeable with scheduling practices for medium to large organizations
• Strong verbal and written communication skills
• Possess critical thinking, problem solving, and leadership skills
• Work well with a variety of personalities and opinions
• Comfortable working with firm deadlines and time constraints
• Familiarity with workforce management principles and practices preferred
• Experience working within a union environment preferred
• Experience using Google Suite and Slack
