We seek an exceptional Executive Assistant to support our President and Managing Director. We need a dynamic individual who can navigate the fast-paced environment of our industry with grace and efficiency. The right candidate will be able to anticipate needs, streamline processes, and ensure that our leadership operates at peak productivity. Responsibilities
Managing schedules to optimize productivity, prioritizing tasks and deadlines while maintaining a keen understanding of key priorities.
Answer the phone and manage the phone log.
Take notes during meetings and phone calls to identify, discuss, and implement the action items.
Assist talent as needed.
Talent research
Develops and maintains databases, distribution lists, mailing lists, and filing systems.
Handle travel arrangements, reservations, etc.
Maintain standards of strict confidentiality with respect to all matters and documents
Ability to work well with executives, staff members, talent, clients, and visitors.
Submit expense reports and purchasing requests.
Research and aid in preparing materials for presentation decks, including gathering, compiling, verifying, and analyzing information and data for memos, reports, presentations, etc.
Assist the President, Managing Director, and talent in preparing for meetings.
Responding to emails and document requests on behalf of the President, Managing Director
Track all incoming lead activity and generate weekly reports and sales agendas.
Maintain Rolodex of industry contacts
Proofreading of pitches and reading scripts and being able to provide detailed notes.
Office administration and management
Liaise with a larger global team.
Participate in special-project assignments on an as-needed basis.
Qualifications
Bachelor's degree or equivalent experience
3+ Years supporting an executive in an administrative capacity at a Production Company, Studio, or Agency
Demonstrated proficiency with Google Docs, Dropbox, Zoom, and Adobe Creative Suite. Proficient in Microsoft Office suite, InEntertainment and Monday.com
Service-oriented and passionately curious
Willingness to work a flexible schedule to accommodate workload.
Experience building and maintaining filing systems and organizing and maintaining large amounts of data.
Excellent verbal and written communication skills, including phone etiquette.
A self-starter who can work both independently and function well within a team.
An excellent researcher
Ability to recognize a need and take ownership of its completion.
Strong passion for short-form and long-form media content and a willingness to learn.
Comfortable with managing a high volume of work while still maintaining critical attention to detail, juggling multiple priorities while working on numerous projects, strong task-management skills with minimal supervision, handling complex instructions with care and follow-through, and demonstrating overall accuracy and thoroughness in executing assigned tasks.
