Eleanor is a production company that, true to its name, shines a bright light on luminary directorial talent. We're currently seeking an extremely polished Executive Assistant to support our Executive Producer. The successful candidate will have strong expertise supporting an President or Executive in the entertainment industry, is reliable, extremely driven, organized, self-sufficient, has an outstanding work ethic, and prides themselves on a sense of urgency and attention to detail.
Responsibilities
Will support an extremely busy Executive Producer
Excellent phone management skills and etiquette
Coordinate and provide support for team meetings, events, and conferences
Manage all scheduling and calendars for executive
Schedule all department meetings
Develops and maintains databases, distribution lists, mailing lists, and filing systems
Handle travel arrangements, reservations, etc
Maintain standards of strict confidentiality with respect to all matters and documents
Ability to work well with executives, staff members, talent, clients, and visitors
Submit expense reports and purchasing requests
Prepare presentations for internal and external meetings
Aid executive and talent in preparing for meetings
Responding to emails and document requests on behalf of executives
Track all incoming lead activity and generate weekly reports and sales agendas
Maintain of Rolodex of industry contacts
Proof reading of pitches, and reading of scripts and able being to provide detailed notes.
Manage website and help coordinate social media and direct marketing
Qualifications
Bachelor's degree or equivalent experience
2+ Years supporting an executive in an administrative capacity at a Production Company, Studio, or Agency
Demonstrated proficiency with Google Docs, Dropbox, Zoom, Adobe Creative Suite
Service-oriented and passionately curious
An excellent proofreader.
Proficient in Microsoft Office suite
Willingness to work a flexible schedule to accommodate workload
Experience building and maintaining filing systems, organizing and maintaining large amounts of data
Excellent verbal and written communication skills, including phone etiquette
A self-starter who can work both independently and function well within a team
Demonstrated ability to work in a team environment where flexibility, keeping others informed, and anticipating needs is essential
An excellent note taker
Ability to multi-task
Proactive problem-solving skills
Ability to handle confidential and sensitive information
Ability to function in a demanding environment with competing and changing priorities
An excellent researcher
Ability to recognize a need and take ownership of its completion
Strong passion for short-form and long-form media content and a willingness to learn
Job Type: Full Time/ Staff
Salary: Based on Experience
Experience in the Advertising or Entertainment Industry: 3+ years (Highly Preferred)
Priority will be give to applicants with strong design and organizational skillsets.
Location: Los Angeles / Full-Time In Office
