Position Overview
We are seeking a detail-oriented, highly motivated Tour Coordinator/Operations Manager to serve as the operational and managerial backbone for our roster artists and senior management team. In this role, you will oversee end-to-end tour logistics, contract administration, international visas, and venue communications, ensuring seamless execution from initial booking to curtain call.
Key Responsibilities:
• Artist Relations & Logistics: Build strong relationships with roster artists, serving as their primary operational contact. Create detailed tour itineraries and manage all travel, accommodation, rehearsal, and performance related logistics.
• Presenter & Venue Coordination: Liaise directly with presenters from symphony orchestras, performing arts centers, concert associations, universities, and international festivals to confirm event details. Arrange performance related support including rehearsal times, piano tunings, soundchecks, page turners, and merchandise sales.
• Contract & Financial Administration: Issue, edit, track, and finalize performance contracts in coordination with Artist Managers. Log fees, process travel reimbursements, issue invoices, and collaborate with accounting personnel on tax documentation and artist payouts.
• Marketing & Publicity: Maintain updated artist biographies, repertoire lists, reviews, media clips, and social media assets. Create recital program pages and review/approve final presenter program proofs.
• Immigration & Compliance: Prepare, submit, and track work permit/visa applications (US O/P-visas), and tax waivers for international engagements worldwide.
What We Are Looking For:
• Core Skills: Exceptional organizational ability, fierce attention to detail, and the capacity to prioritize competing deadlines in a fast-paced environment.
• Communication & Discretion: Strong eloquent written and verbal communication skills; ability to represent the agency professionally and handle confidential client data with discretion and sensitivity.
• Tech Savvy: High computer literacy and proficiency with standard database and calendar management, spreadsheets, and document processing software.
• Classical Music Knowledge (Preferred): Strong familiarity with classical music repertoire (orchestral, operatic, instrumental, and/or chamber music) is a major asset. This position is built for someone who is interested in artists management as a career.
• Languages (Bonus): Proficiency or working fluency in a foreign language (e.g., French, German, Spanish) is a plus.
