This position will support two senior leaders: the leader of Tools & Operations and the leader of Marketing Design and Strategy.
What You Will Do
You would be responsible for the day-to-day workings of the leaders you support. There will be expense reports, travel planning, hundreds of messages, and endless calendar jockeying, but this job is very much about people. In addition to understanding your executives' business and priorities inside and out, you'll also need deep knowledge of the leadership and workings of the different segments and departments. As the "face" of your executives, your professionalism, loyalty, and demeanor are a reflection of the office and are a key component to its success.
Every day as an Executive Assistant is different! On any given day you might:
• Review your leaders' schedules to build in time for things like thinking, preparing for vendor and technology reviews, and traveling to their next meeting
• Understand the day's priorities across two distinct but complementary workstreams so you can be strategic about how you direct calls and requests
• Interface directly with other senior executives and their support teams - your ability to work well with people on all levels is a very important part of this job
• Create complex, multi-city travel itineraries, taking into account time zones, weather delays, traffic, and fatigue levels
• Schedule meetings and arrange logistics including conference rooms, resources, and video chats
• Be ready to throw the entire schedule out the door when an emergency comes up, then pick it up again when the dust settles
• Handle extremely confidential and sensitive information, including technology strategy and vendor relationships
• Assist with onboarding new employees to the team - you'll be the "friendly face" that new employees count on to answer all their questions
• Handle large purchase orders and vendor contracts, including coordination with technology and consulting partners
• Mentor and train other support professionals in hard skills like computer programs and soft skills like teamwork
• Plan events like town halls, off-sites, and team-building activities
Required Qualifications & Skills
• At least 2 years of experience in an executive assistant position supporting senior executives and/or equivalent combination of experience
• Proven success in supporting multiple executives simultaneously, managing competing priorities across distinct workstreams
• Proven success in partnering and interacting with all levels of employees including Executive Leadership
• Strong proficiency with all types of computers, phones, and office equipment, as well as mastery of Microsoft Office programs, SAP, Confluence, Concur, and working in a Windows environment; comfort learning new tools quickly
• Sharp written and verbal communication skills, including flawless grammar and a rich vocabulary
• Complete reliability in handling confidential, often highly sensitive information
• Ability to prioritize multiple deadlines and deliverables while also dealing with unexpected demands
• Ability to build bridges, forge alliances, and encourage people to want to work with you
• Desire to truly be helpful to your leaders and co-workers, to go above and beyond without being asked
• Very strong organizational skills and utmost attention to detail
Preferred Qualifications
• 3 years in an executive assistant supporting senior executives and/or equivalent combination of experience
• Experience in a technology, marketing technology, or creative operations environment
• Experience managing vendor contracts for technology or consulting engagements, including SOW-based relationships
• Prior experience supporting an executive who has served on a Board of Directors or experience providing support for board activities
• Experience working at a large public corporation
Education
• Required - Bachelor's degree and/or equivalent experience
Salary/Benefits
$54,000 - $72,400 /year USD
The base pay actually offered will take into account internal equity and may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience.
