Job Summary:
The Disney/ABC Television Group is composed of the Walt Disney Company's (NYSE: DIS) global entertainment and news television properties, owned television stations group, as well as radio and publishing businesses. Provide day-to-day administrative support to Vice President, Short Form Production and limited administrative support to the Short Form Production department.
Responsibilities:
• Answer phones for Vice President, Executive Director, Production, and Executive Director, Post-Production. Ensure messages are delivered in a timely manner.
• Proactively anticipate needs of Vice President and manage office time efficiently.
• Maintain and coordinate Vice President's calendar.
• Schedule meetings and conference calls.
• Reserve conference rooms, prepare agendas and handouts, manage any technical logistics.
• Prepare expense reports and reconcile all corporate credit card bills.
• Coordinate all business travel arrangements.
• Organize office filing system for Vice President. Maintain files or binders as needed and assist in maintenance of paperless system.
• Monitor and order department office and production supplies.
• Generate and manage purchase orders for temporary staff, office supplies, and production supplies.
• Manage both on-site and offsite property storage locations.
• Conduct regular asset inventories and organize cleanouts.
• Maintain and distribute Short Form Production calendar on a weekly basis.
• Develop familiarity with Partner/Client projects
• Maintain shared resource database/server-cataloging all project information, production reference materials, and documents.
• Manage Production Resource library.
• Process production crew and talent timesheets/paperwork for all in-house shoots/projects.
• Coordinate and process minor's paperwork; including filing and reconciling.
• Interaction with various internal departments, external organizations, executive team, and global partners.
• Communicate regularly with all Partner/Client assistants.
• Take responsibility for his/her continuous learning and professional development.
• Complete special projects as assigned.
Basic Qualifications:
• At least three years of Executive level secretarial/administrative/office management experience within large entertainment/media or production company required.
• Familiarity with Film/Television production and post-production processes preferred.
• Proficiency in Microsoft Word, Excel, Powerpoint and Outlook.
• Proficient in creating presentation decks including charts and grids.
• Ability to source information through the Internet, reference materials, libraries-Avid Researcher.
• Extremely detail oriented and organized, with a strong ability to manage multiple high priority projects and appropriately prioritize work.
• Receptive to and approachable by others in any situation.
• Ability to work with various communication styles and creative viewpoints.
• Approaches challenges as opportunities for learning and creative thinking.
