Job Summary:
Must be familiar with Outlook/Microsoft Suite, scheduling, travel booking, and basic office duties. Understanding of production office flow, documents, and lingo preferred but not required. Interested in seeing shows from a top-down perspective.
Responsibilities:
PRODUCTION ADMIN
Assist Production Department in production oversight, including:
• Reviewing daily production reports; organizing and updating shared folders; reviewing deliverables; and light IT assistance
• Overseeing logistics for show Production Meetings, Table Reads, Show & Tells, etc (this includes placing catering orders, printing scripts/materials, making room reservations, and light IT assistance)
• Collaborating with Manager of Production to update and manage Production and Network handbooks, manuals, and start paperwork, as needed
• Collaborating with Manager of Production to manage show access for Scenechronize, FontAgent, PIX, etc.
• Organizing wrap drives in shared folder; create and maintain hard drive back-ups
• Creating preliminary production schedules, production checklists, and grids
• Collaborating with Manager of Production to visit and organize asset storage units so that items are easy to track and locate
• Collaborating with Manager of Production to set up external offices, such as Writer's rooms, Production, or Post offices, as needed
• Maintaining day-to-day contact with production offices for all shows, assisting with all show requests and needs
GENERAL/CORPORATE ADMIN
• Update and maintain calendars for VP & Director of Production; schedule meetings and phone calls (including sending out and managing calendar invites)
• Book travel (flights, hotels, car service), as needed
• Manage and submit expense reports
• Cover Production Department phones from 8:30am – 6:30pm in rotation/coordination with other department staff.
• Keep offices, conference rooms, kitchen, and desk neat
Basic Qualifications:
• At least 3 years supporting a Vice President and/or equivalent experience directly supporting an Executive
• Experience working within Production
• Sharp written and verbal communication skills, including flawless grammar and a rich vocabulary;
• Desire to immerse yourself fully and learn all aspects of your executive's business;
• Ability to multi-task and prioritize deadlines/deliverables;
• Strong proficiency with all types of computers, phones and office equipment, as well as mastery of Microsoft Office programs, SAP, Confluence, and Concur.
• A calm head and steady hand to deal with the unexpected;
• ''EQ'' skills to build bridges, forge alliances and encourage people to want to work with you;
• Complete reliability handling confidential, often highly sensitive information;
• Desire to truly be helpful to your leaders and co-workers, to go the extra mile without being asked;
• Some flexibility in your schedule – we value work/life balance, but in a pinch, a bit more time is needed;
• Very strong organizational skills and extreme attention to detail; and
• A highly professional demeanor, positive outlook and a can-do attitude.
Preferred Qualifications:
• Working knowledge of Scenechronize
