Administrative Assistant, Business Affairs (ABC Signature Studios)

This position currently reports to the Director of Business Affairs, ABC Signature Studios. You would be responsible for the day-to-day workings of the leader(s) you support. The Business Affairs department supports our creative executives in negotiating and drafting above-the-line deals (e.g., writers, directors, producers, underlying rights, performers) for the projects the creative team is excited to pursue and develop as well as negotiating and drafting deals for pilots or series that have already been ordered to production by an exhibitor.
It goes without saying that there will be rolling calls, expense reports, hundreds of phone messages and endless calendar jockeying, but this job is very much about people, about forming strong relationships with your leaders and co-workers, and about understanding how to leverage the human capital within the Disney enterprise to help your executive(s) flourish. As the ''face'' of your executive(s) within The Walt Disney Company, your professionalism, loyalty and attitude are a reflection of the office, and as such, are a critical component to its success.
Responsibilities:
Every day as an Executive Support Professional is different! On any given day you might:
• Be a proactive problem-solver – think outside the box, pick up the phone and call a stranger, don't be afraid to ask questions;
• Be ready to throw the entire schedule out the door when an emergency comes up, then pick it up again when the dust settles;
• Understand the day's priorities so you can be smart about how you direct phone calls;
• Take note of the status of your Business Affairs executive's deals and shows in production;
• Work closely with creative executives and their assistants for scheduling departmental calls and meetings and organizing and maintaining status charts of development projects and projects in production;
• Interface/create relationships with a variety of other departments – casting, production, legal, publicity, finance, contract administration, and accounting, to name a few;
• Read relevant industry news to stay up-to-date on ABC Signature projects and talent;
• Research talent credits, prior studio deals, upcoming projects, etc.
• Coordinate with the offices of talent agents, managers and attorneys to troubleshoot issues as they arise;
• Coordinate with our production departments regarding distribution of budgets and production schedules and problem-solving production-related issues;
• Schedule conference rooms, phone calls, meetings and video chats;
• Prepare regular reports and status charts -- you'll have tasks that you ''own'' completely;
• Draft and revise correspondence and contracts under the supervision of the Business Affairs executive;
• Manage, maintain and organize a high volume of departmental files
• Review your leader's schedule to build-in time for things like thinking, and getting to/from meetings in our sprawling campus; and
• Collaborate on projects by conducting research, writing and fact-checking.
Basic Qualifications:
• At least 2 years supporting a Director or above and/or equivalent experience;
• Ability to multi-task and prioritize deadlines/deliverables;
• A calm head and steady hand to deal with the unexpected;
• Complete reliability and integrity in handling confidential information;
• Very strong organizational skills and attention to detail;
• Sharp written and verbal communication skills, including clean grammar and a robust vocabulary;
• Strong proficiency with all types of computers, phones and office equipment;
• Mastery of Microsoft Office programs, good skills in SAP, Sharepoint and Concur;
• Confidence to learn new programs when necessary;
• Desire to truly be helpful to your leaders and co-workers, to go the extra mile without being asked, to build solid inter and intra-team relationships;
• Some flexibility in your schedule – we value work/life balance, but in a pinch, a bit more time is needed; and
• A professional demeanor, positive outlook and a can-do attitude.
Preferred Qualifications:
• Prior talent agency desk, legal and/or business affairs experience
• Experience in or good knowledge of/strong desire to learn more about the entertainment industry, particularly television development and production;
• Experience working with talent agencies, management companies, and/or law firms;
• Experience working in a large publicly-traded company;

• High School Diploma
Preferred Education
• Bachelor's Degree or Equivalent Work Experience
