We are seeking a temporary, contingent worker (CW) Executive Assistant. You will be an employee of Yoh Services working at Discovery.
The contract Executive Assistant to the Discovery Digital Kid's team supports a number of Execs and provides departmental administrative support. The role is also ''front of house'', representing the team when visitors arrive. The EA is a unique opportunity to combine both executive assistant and creative responsibilities while working in a fast-paced environment.
Specific responsibilities include:
1. Provide exemplary, executive administrative support to the Discovery Digital Kid's Team.
2. First and last line of support for all communications for the executive for internal and external needs.
3. Schedule executive's appointments, maintain and update supervisor's daily calendar.
4. Schedule, organize, and coordinate meetings, including travel, transportation and hotel arrangements, coordination, preparation, and distribution of materials, agendas, and notes, hand-outs.
5. Follow up and follow through with tasks and needs associated with supporting the executive and clearing operational roadblocks.
6. Arrange travel itineraries and prepare travel and expense reports, purchase orders, and check requests.
7. Monitor monthly expenses, reconcile budget, and refer discrepancies for resolution.
8. Ability to adapt to new and challenging tasks as the team grows and the needs change from project to project
9. Anticipate and proactively engage with the team to make sure additional operations are considered and covered from an internal support structure.
10. Assist team with maintenance of E-Submissions, Submissions Database input and project pass letters.
11. Liaise with outside production companies as necessary to set up meetings and create agendas and schedules for programming markets.
12. Create agendas for editorial and Development meetings.
13. Support Development staff with presentation projects as needed. Participate and strategize with teams on new categories for future opportunities.
* Bachelor's degree in a related field of study or an equivalent combination of skills, training, and experience is preferred.
* Three to five years' administrative experience.
* Must be proficient in all Microsoft systems, including: Outlook, PowerPoint, Office and Excel
* Candidate must be articulate, detail-oriented, and have strong follow up, organizational and administrative management skills.
* Candidate must also demonstrate initiative, resourcefulness, and an ability to manage multiple assignments under tight deadlines.
* Strong interpersonal, written, and oral communication skills required.
* Ability to initiate and follow-through on tasks independently - strong self-starter who will take charge and provide support to executives in an efficient manner.
* Ability to multitask, assess priorities and maintain composure and diplomacy at all times.
* Must have the legal right to work in the United States.
