The Role
The NY Workspace Program Manager is responsible for allocating space across the New York portfolio in accordance with established guidelines ensuring that space use is optimized and documented, and that business needs are addressed effectively and efficiently. The Manager supports the Corporate Facilities team for short-and long-term space planning requirements and strategies to assist management with making informed decisions on space and real estate projects. The manager oversees the creation, editing, and maintaining of space planning documents, AutoCAD drawings, floor plans, blocking plans, neighborhood plans and performing accurate and timely updates, in addition to providing “what if” scenario drawings and plans for space and other strategic facility-related requirements. The Manager will serve as lead for NY space-related projects involving group moves, building restacks, and relocations in addition to serving as a member of the workplace strategy and change management team.
Responsibilities
1. Lead and manage workspace allocations across the New York portfolio; new hire, move, change, relocation, leave of absence, contractor, contingent worker, intern requests and approvals.
2. Manage Corporate Facilities New York queues in Discovery CAFM System; creating, editing, and closing of generated tickets from space allocation approvals.
3. Coordinate with support teams and facility location personnel to ensure all tasks are completed in a timely manner in preparation for employee onboarding or space location changes for existing employees.
4. Maintain and publish accurate floor plans, blocking plans and neighborhood plans for occupancy/vacancy tracking and reporting, strategic analysis and project planning.
5. Monitor, evaluate and co-author Discovery US and location headcount reports, ensuring allocation elements are inclusive in weekly, monthly, yearly and ad-hoc documents.
6. Develop and maintain strong working relationship with People & Culture and Business partners to enable clear and concise communication on headcount and accurate allocation of space.
7. Conduct on-site surveys and audits, at least quarterly, to verify that employee locations are correctly notated on floor plans and in CAFM system.
8. Research, track and report on space utilization to support short and long-term departmental space requirements, prepare appropriate blocking, neighborhood and stacking plans and assist in developing and implementing space strategies. Assist in providing “what if” strategic space scenarios.
9. Serve as lead move manager for all New York location restacks and group moves/relocations, plan and facilitate move project timelines and milestones, leveraging support teams and external resources to identify challenges and establish clear path resolutions to ensure project remains on schedule. Schedule and conduct project meetings, including developing and maintain agenda, tracking documents and related requirements. Track project deliverables. Monitor and report on progress to all stakeholders. Prepare and carry out all post move, and Day One activities.
10. Conduct interviews and discussions with stakeholders to determine and synthesize move project requirements. Generate resource requirements with practical solutions that respond to stakeholder needs including relative pros and cons of alternatives. Identify and address organizational, operation and functional relationships that pose physical and spatial impacts.
11. Develop migration and phasing plans for restack/move/relocation and sequencing of moves required to achieve end state.
12. Create and publish move information packages, spreadsheets, drawings and from/to lists. Schedule and conduct employee move meetings and informational sessions.
13. Evaluate space allocation process and moves and make recommendations for improvement.
14. Participate in planning and implementation of New York facility enhancement projects. Serve as space allocation/move manager assisting the project team in determining project scope, requirements, goals, and deliverables.
15. Participate in Workplace Strategy and Change Management programs to identify, develop and integrate for Discovery’s projects. Attend meetings and events to support efforts for workspace planning and employee engagement. Provide oversight and guidance to team on location headcount and space utilization.
16. Enforce Discovery Move guidelines and assists in the development and implementation of space usage guidelines to ensure long term flexibility and efficiency.
17. Provide detailed plans, reports, spreadsheets and PowerPoint presentation as required.
Requirements
* Bachelor’s degree required – Facility Management, Architecture, Business or Real Estate preferred. Experienc3e in business planning within a facilities and real estate arena a plus.
* Experience in AutoCAD, Bluebeam, Excel, Power Point, Adobe Acrobat XI Pro required.
* General knowledge of CAFM systems required.
* Project Management Professional (PMP) certification a plus.
* Must have strong proficiency in spreadsheets, pivot tables and other analytical techniques.
* Must be exceptionally organized, structured, methodical, and attentive to detail and possess a high-degree of follow-through.
* Must demonstrate proficiency in working independently and collaboratively and cross-functionally within the organization and the business to execute tasks under tight deadlines, demonstrating sound “relationship management” skills both within and external to the organization.
* Excellent written and verbal communication skills demonstrated through clear and concise reports, meetings and calls and one-on-one dialogue.
* Must have strong presentation skills as well and represent the organization with poise, professionalism and confidence.
* Ability to travel across the US portfolio.
* Must have the legal right to work in the US.
