The People & Culture (P&C) Operations Specialist is responsible for direct contact with customers and internal support of P&C Partners as well as the integrity and accuracy of all employee records and data in P&C Systems. This role plays a key part in the P&C Operations Team who serve as the backbone of Discovery’s People & Culture Organization, working collaboratively within a digitally native environment to align data, while implementing processes, procedures and P&C support to make business decisions in compliance with operational SLAs.
The primary function of this role is to support global mobility and domestic relocation matters across the US. This role will actively collaborate with P&C management, talent management, in-house and outside counsel, managers and employees on relocation, which includes knowledge and collaboration with the Global Mobility team that supports immigration, tax and compliance matters. This role will ensure that relocation processes are accurate and completed within the deadlines required and that related paperwork is organized for easy access and review.
Responsibilities
1. Administer the US domestic relocation benefits program’s policies and procedures as outlined by the Global Mobility Team through the Service Now portal and case management tool.
2. Review all relocation agreements and coordinate with Talent Management, People & Culture Partners, People & Culture Operations, local teams and vendors to obtain and process required relocation documents to initiate domestic relocations with relocation vendor.
3. Responsible for creating domestic relocation cost estimates for Tier 2 renters & Tier 3 domestic relocations for People & Culture Partners/Talent Acquisition.
4. Provide high-level customer-focused consultation and support to employees, build relationships and manage issues through completion or escalation to Global Mobility as required
5. Prepare and distribute reports for internal business needs, such as tax department, payroll, and finance
6. Communicate with vendors regarding plan issues and ensure adherence to plan document provisions.
7. Coordinate and analyze reimbursement of expense and payments to third party providers
8. Oversee all relocation vendor invoicing
9. Provide some administrative support to global mobility team such as Outlook mailbox overflow and out of office coverage, databases, tracking spreadsheets, and keeps SAP up to date.
10. Conduct monthly/quarterly audits to ensure that U.S. employees have updated their home mailing address and tax forms once they have relocated and conduct follow ups when needed.
11. Assist and counsel employees regarding benefits plans, payroll, company policies and programs and leave of absence plans.
12. Document all inquiries, issues and transactions using the case management system
13. Achieve performance measures and adhere to established SLA requirements
14. Serve as on-site point of contact for all document management activities, in congruence with the company document management strategy and retention policy
15. Support P&C Partner team in day-to-day projects, answering tier one employee questions with a focus on customer service and maintaining a positive attitude
16. Answer telephone, screen calls, route callers, take messages, respond to internal and external inquiries, and provide routine information within the scope of authority.
17. Projects as assigned to continue to streamline internal processes or drive P&C strategies
18. Ensure overall compliance with federal, state and local laws
Requirements
* Bachelor’s Degree in HR / business / or related field; or equivalent work experience
* Minimum two years at the HR Generalist level, preferably within an HR operations team, service provider and/or shared services environment
* Domestic Relocation experience preferred
* Knowledge of HR Systems a plus (SAP, Workday, etc.)
* Knowledge of case management systems (ServiceNow)
* Ability to solve problems and carry out responsibilities with little or no supervision
* Strong verbal/written communication skills, organization skills, detail-oriented, yet able to analyze and recommend alternatives
* Ability to prioritize and address competing demands; multi-tasking capacity critical
* High degree of respect for the confidentiality and sensitivity of HR and payroll data
* Proficient in MS Office Suite (Excel, Word, PowerPoint, Visio, etc.)
* Must be able to demonstrate ability to learn and understand various computer systems
* Must possess the ability to work effectively within a fast-paced environment
* Must have the legal right to work in the United States.
