Full Time Job
The Director of the Office of the President & CEO, based in New York, manages a close-knit team of administrative staff supporting Discovery’s CEO in a dynamic and fast-paced environment.
Responsibilities
1. Manage CEO’s office, including Executive Assistant, Administrative Assistant, and part-time Travel Manager; perform high-level operational and administrative duties, and support day-to-day office operations
2. Share CEO office staffing coverage with support team, with an early start to the day and flexibility required
3. Monitor very heavy CEO email activity, ensuring all incoming correspondence is handled as appropriate and in a timely manner
4. Take rapid dictation on a regular basis, utilizing excellent proofreading/editing/grammatical skills; compose memos, letters and other documents and correspondence
5. Handle strategic management and prioritization of CEO calendar; schedule internal and external appointments, conferences, speaking engagements and special events
6. Ensure CEO is thoroughly prepared for all meetings and events by providing and procuring related briefing material
7. Coordinate frequent, often complex, and ever-changing CEO travel arrangements with meticulous attention to detail
8. Screen and route internal and external inquiries, including show pitches, job referrals and sponsorship requests
9. Prepare and approve internal and external communication on behalf of CEO, and make routine operational decisions within scope of authority
10. Liaise with top executives both within and outside of the company, including regular communication with Discovery’s Board of Directors
11. Ensure strict adherence to Corporate Finance, Audit and Legal policies
12. Share CEO phone coverage (heavy volume) with support team
13. Occasional travel with CEO may be required
14. Take on special projects, as assigned
Requirements
* Bachelor's degree required
* 8 years of C-suite administrative experience within a fast paced, corporate environment
* Strong organizational, administrative and analytical skills; must be articulate and detail-oriented
* Pro-activity, anticipation of executive needs, and thorough follow-up absolutely required
* Strength in multi-tasking; ability to juggle many fast-paced projects simultaneously and with great accuracy
* Flexibility in accepting new and changing responsibilities, as well as strong personal initiative and resourcefulness; taking ownership of, and accountability for, responsibilities
* Professionalism, maturity, diplomacy, composure and grace under pressure
* Excellent typing skills and ability to take verbal dictation rapidly and accurately
* Excellent written and verbal communications skills, including proficiency in grammar and spelling
* High level of discretion due to exposure to confidential information and high-profile individuals
* Ability to work both independently and as part of a team
* Ability to assess priorities and manage multiple projects under tight deadlines
* Willingness to work flexible hours
* Strong MS Outlook and MS Office skills
* Must have the legal right to work in the United States
