What You'll Do
The Operations Assistant will be responsible for providing administrative support to the department in the daily operations of the office, theater complex, and Operations department including, but not limited to standard administrative tasks including handling phones, heavy scheduling, correspondence, project/event support, facility support, and overall clerical support. This position is onsite only.
Essential Duties & Responsibilities:
• Ability to multi-task and handle different projects at once.
• Answer main telephones lines, direct callers, respond to voicemails in a timely manner, and place service calls when needed.
• Coordinate and maintain conference rooms, common areas and kitchens. Inspect and ensure that all rooms are clean, stocked with supplies, and ready for continual use. Organize and distribute kitchen supplies. Maintain inventory control and order supplies as needed.
• Oversee maintenance of copiers and organization/stocking of copy rooms.
• Assist in the scheduling of events, project, and Operations staff.
• Project support as assigned.
• Provide event/meeting support including but not limited to setup/load-in, execution, and strike.
• Help coordinate facility maintenance requests and vendor services.
• Support compliance with organizational policies and safety regulations.
• Provide assistance to the Executive in Charge of Physical Operations and the Operations Manager on special projects as assigned.
• Act as a point of contact for staff and visitors with operational questions or requests.
• Other duties as assigned.
What You'll Need:
• Minimum 2-3 years of office and/or administrative experience.
• Excellent verbal and written communication skills.
• Proficient in MS Word and Excel.
• Ability to prioritize tasks within a deadline-drive environment.
• Ability to collaborate inter-departmentally.
• Ability to lift/move boxes up to 50 pounds occasionally.
• Must be able to work overtime and weekends occasionally.
• Reliable transportation

Salary/Benefits
$45,000.00
