What You'll Do
Essential duties & responsibilities:
The Second Administrative Assistant to the National Executive Director will be responsible for providing administrative support to multiple executives. This includes answering phones, filing, photocopying, supply orders and scheduling meetings. This position will support the mission, values, and goals of the Directors Guild of America (DGA). This position is onsite only.
Additional duties include:
• Assist multiple executives in all aspects of maintaining an organized office.
• Assist with preparation of materials for various Board and Council Meetings.
• Assist with all office duties including schedules, calendars, files, correspondences, travel, expense reports, and document distribution.
• Assist with the preparation of multiple meetings (i.e., National Board meetings and conventions, etc.).
• Responsibilities include providing support to multiple executives as well as working with other executive support staff and their teams.
• Overtime and evening work required.
• Reliable transportation required.
• Entertainment industry background helpful.
What You'll Need
• Outstanding grammar, spelling, and punctuation is a must.
• Clear, articulate verbal communication skills with a professional and courteous telephone manner.
• Knowledge of common business office procedures and terminology.
• Ability to interact with executive management, membership, and legal staff is a must.
• Ability to multitask and handle constant interruptions and shifting priorities.
• Strict attention to detail with a high level of accuracy is required.
• Ability to maintain confidentiality.
Minimum qualifications:
• Minimum 2 years' experience office support role.
• Bachelor's degree or equivalent work experience.
• Microsoft Office proficiency including Outlook, Word, Excel, PowerPoint.
• Proficient in using Zoom for virtual meetings, webinars, screen sharing, breakout rooms, and collaboration tools to support effective remote communication and team coordination.
