Office Manager/Project Coordinator Job Description
Office Management / Assistant
Providing administrative support to the Head of Marketing, in addition to supporting the Vice President and Legal Department on an as-needed basis, and scheduling all meetings.
Oversee department budgets & schedules in regards to supplies, events, staff travel, and expense reports.
Liaise with accounting for budgeting, expense reports, and various departmental costs.
Organize / maintain office operations and efficiencies including: workflow via project management system, coordinating calendar correspondence, upkeep office supplies, interfacing with outside vendors, and managing company accounts and passwords
Direct customer inquiries to the appropriate department
Management of studio scheduling
Sourcing interns and conducting preliminary interviews upon each new semester
Project Management:
Responsible for supporting, planning, organizing, and directing the completion of projects.
Ensure proper communications are distributed to appropriate teams
Working with project leads to ensure efficiency and on-time delivery
Managing best practices for project management tool, ClickUp
Help with event production in both the planning stages and onsite
Qualifications:
2+ years music industry (or similar) experience preferred
Must be extremely organized and have exceptional interpersonal communication skills
Professional email and phone etiquette
Proficiency in Microsoft Office, Zoom, Slack, Google Drive, macOS, Box
Familiarity with project management system preferred
Ability to handle sensitive/classified information is a must
Interest/knowledge of EDM
Bachelor's degree required
