We’re seeking a highly organized, communicative, and curious Office Administrator to join our front office team.
Role Overview:
DFT’s Office Administrator plays a vital and multifaceted role, managing a wide range of responsibilities—from overseeing phones, deliveries, and pickups, to maintaining a clean and sanitized facility every hour to ensure the health and safety of our limited on-site staff. This position also requires the ability to pivot quickly in response to urgent or client-facing needs. Additionally, the Office Administrator will directly support and act as an extension of our CEO and Operations Manager, both of whom serve every department within the organization. Flexibility, quick thinking, and clear, concise communication are essential to success in this role.
Responsibilities:
- Serve as the friendly, professional face of the office–greet visitors, answer phones, and manage front-desk operations.
- Oversee office logistics including mail, deliveries, supplies, and parking coordination.
- Maintain a clean, organized, and client-ready workspace across all common areas and meeting rooms.
- Support the CEO and Operations Manager with scheduling, meeting setup, and day-to-day administrative tasks
- Monitor office security and liaise with vendors and building management to ensure a safe, well-run environment.
- Foster clear communication and a positive culture across the team.
Skills:
You’re a natural problem solver and collaborator with a calm presence, capable of juggling multiple priorities and keeping clear communication flowing between departments.
Required:
- Exceptional organizational and multitasking skills
- Clear, thoughtful communicator—both verbal and written
- Strong proficiency in Google Suite and scheduling tools
- Detail-oriented with the ability to work under pressure
- Comfortable with fast-paced, evolving environments
- Project management experience within Entertainment a strong plus
Preferred:
- Prior Office Administrator experience or high end hospitality background preferred
- Media & Entertainment background or familiarity with Post Production is a strong plus
