Job Title: Executive Assistant
Reports to: COO
Status: Non-Exempt
Status: Staff, Full-Time
Purpose of the job:
The Executive Assistant provides strategic administrative support to the group COO. The ideal candidate will be a self-starter, exceedingly organized, flexible, and highly adept at effectively navigating the challenges of interacting with a wide range of personalities involved in a studio production environment.
Essential Functions/Responsibilities:
- Serve as the primary scheduler/point of contact for the COO's calendar needs
- Greet and interact with executives, investors, and clients with business savvy and polish
- Exhibit high levels of integrity and discretion in handling confidential information and dealing with professionals both within and outside the company
- Provide strategic and proactive support in dealing with internal meetings, executives, clients, and investors
- Serve as first point of contact for both external and internal communications for COO
- Act as a liaison between COO and other executive staff and their support teams
- Arrange global travel (domestic and international), providing detailed itineraries and coordinating hotel, transportation, and dining logistics
- Anticipate, prioritize, and prepare COO for travel, meetings, and presentations
- Provide day-to-day and ad hoc administrative support to the COO including, but not limited to, organizational spreadsheets, meeting notes, and expense reports
- Conduct research as assigned and compiles data points into summary reports for the COO
- Present an appropriate appearance and comportment in tune with the company culture, while maintaining a high degree of professionalism
- Create pitch decks and presentations
- Additional tasks in support of COO, CEO, and other executive staff as needed
Qualifications:
Education and/or Experience Required:
- Post-secondary degree in business or related field is desired
- Minimum five years experience supporting at the executive level
Skills, Abilities, Special Licenses or Certificate:
- Ability to apply superior problem solving skills to high-pressure challenges and rapidly changing circumstances with flexibility, dexterity, professionalism, and emotional maturity
- Strong analytical skills and critical thinking ability
- Experience in successfully handling executive support tasks with little or no supervision; ability to multitask and prioritize daily workload
- Excellent calendar management skills, including the coordination of complex executive meetings
- Expertise in Google Apps and MS Office
- Strong computer and Internet research skills
- Experience scheduling domestic and international travel arrangements for management
- Effective interpersonal communication and customer service skills; ability to work well with all levels of internal management and staff, outside clients, and investors.
- Proven ability to interact effectively within and outside the organization
- Proven ability to deal with sensitive and confidential information
- Must be comfortable working in an unstructured environment
- Must be available to work after hours and weekends, as well as being available to travel domestically and internationally as needed
Working Conditions and Environment/Physical Demands:
- Office working environment
- Hours for this position are based on normal working hours but will require extra hours pending executive needs
- Some travel may be required
- Walking/bending/sitting
