Dick Clark Productions is seeking a highly motivated and detail-oriented Procurement and Travel Specialist, to oversee production travel for Dick Clark Productions shows, support production and event sourcing across PMC's brands, and perform general procurement operations. This role sits at the intersection of entertainment industry operations and strategic procurement, requiring a unique blend of travel management expertise and sourcing acumen.
The ideal candidate will bring proven experience in procurement and travel management within the entertainment, media, or live events industry, with a strong understanding of production workflows and event logistics. This is a procurement and travel management role—not an event planner or production role—therefore, demonstrable procurement and travel management experience is required.
This role will report to the AVP of Procurement and work closely with the procurement department, PMC’s corporate travel department, finance, DCP production, as well as PMC’s media brands.
Key Responsibilities:
• Manage end-to-end production travel and logistics for all cast and crew, including flights, hotels, and ground transportation for Dick Clark Production shows
• Coordinate complex, multi-city travel itineraries under tight timelines and budget constraints
• Oversee travel operations for production teams and work closely with PMC’s corporate travel team to implement tools and processes specific to production travel needs
• Negotiate pricing and contracts and manage vendor relationships across travel, production services, and event-related spend to drive cost savings
• Support the production / event RFP process, utilizing the Coupa software for tracking, analyzing, and awarding vendor bids
• Partner with finance, production, and other business stakeholders to ensure travel and sourcing solutions align with budgets and operational requirements
• Support corporate procurement operations across all of PMC including supplier onboarding, purchase order management, and other Coupa software functions
Qualifications:
• Ability to manage multiple priorities in a fast-paced environment with attention to detail
• Strong understanding of production and event logistics, workflows, and unique sourcing requirements in the entertainment and music sectors
• Excellent communication and interpersonal skills, both written and verbal
• Exceptional negotiation skills is a must
• Ability to read, comprehend, and negotiate vendor agreements
• Advanced Microsoft Word proficiency, including contract redlines, Track Changes and document formatting
• Advanced Excel proficiency, including regular use of PivotTables, filter, and data analysis
• Experience with corporate travel management software such as Egencia, Concur, or similar platforms preferred
• Experience with Coupa Spend Management Software preferred
• Knowledge of production and event spend preferred
• Adaptable and comfortable with ambiguity in a dynamic entertainment and music environment
