Senior Personal Operations Manager
Dhar Mann Studios
Burbank, CAThis is a Full Time Job
BIG PICTURE: Dhar Mann Studios is seeking an exceptionally organized, proactive, and resourceful Senior Personal Operations Manager to support a high-profile entrepreneur and family across personal, household, and estate operations. This is not a traditional Executive Assistant role. We are looking for someone who takes complete ownership of whatever is placed in their hands-someone who naturally follows up before being asked, catches details others miss, and keeps pushing until the task is actually finished. The right person does not simply manage a to-do list; they close loops.
HOW YOU'LL SPEND YOUR TIME:
• Project Ownership & Operations: Manage multiple personal, household, and estate projects simultaneously from request through completion, keeping clear timelines, owners, deadlines, and next steps for every open item.
• Vendor & Contractor Management: Coordinate contractors, vendors, technicians, and service providers; oversee home improvement and repair projects; and follow up aggressively but professionally when vendors are delayed.
• Administration & Logistics: Manage complex calendars, appointments, personal scheduling, travel preparations, personal administrative projects, insurance matters, claims, and household inventory.
• Financial & Household Tracking: Track invoices, estimates, approvals, and payments, ensuring important items are accounted for and ready when needed.
• Staff & Process Coordination: Coordinate household staff to ensure requests are executed correctly. Document recurring processes so problems do not repeat.
• Proactive Problem Solving: Identify problems before they become emergencies, troubleshoot household technology, research products/vendors to present clear recommendations, and escalate appropriately when items are stuck.
• Communication & Discretion: Provide concise status updates without being asked, present clear options to simplify decisions for leadership, and handle confidential personal and financial information with complete discretion.
WHAT YOU HAVE:
• Relevant Experience: Ideally 5 years of experience in Executive/Personal Assistance to a founder/CEO/HNWI, personal/family office operations, estate/household management, project management, luxury hospitality, property management, or construction/renovation coordination (experience matters more to us than a specific degree).
• Extreme Ownership Mindset: You believe if a task is assigned to you, you own the outcome-''waiting on someone'' is never a final status, and you come back with solutions rather than explanations.
• Proactive Urgency: Possess an unusually strong sense of urgency, an obsession with follow-through, and a drive to resolve small tasks quickly rather than letting them sit.
• Detail-Oriented & Organized: Ability to manage dozens of open loops without losing track, maintaining clear systems so information isn't trapped in someone's memory.
• Assertive & Clear Communicator: Excellent written and verbal communication skills, comfortable respectfully pushing vendors and team members for answers.
• Composure & Feedback: Able to operate calmly when plans change, think several steps ahead without constant supervision, and take feedback well to adjust quickly.
THIS ROLE PROBABLY ISN'T FOR YOU IF:
• You prefer waiting for someone to tell you the next step or frequently need reminders to follow up.
• You consider sending an email the same thing as completing a task.
• You are uncomfortable holding vendors accountable or get overwhelmed when managing many simultaneous projects.
• You are great at starting projects but lose interest in the final 10% required to fully finish them.
THIS ROLE COULD BE PERFECT FOR YOU IF:
• People describe you as the person who gets things done and you love turning chaos into a system.
• You get satisfaction from crossing the final item off the list and notice things that others miss.
• When someone gives you a problem, your default instinct is: ''I'll figure it out.''
WHO OVERSEES YOU: This role reports directly to the Principal / Founder.
WHERE IT ALL GOES DOWN: This is a full-time, primarily in-person position located in the Los Angeles Area, CA.
WHEN THE MAGIC HAPPENS: This is a full-time position requiring flexibility to support operational needs as they arise. Specific hours will be discussed during the interview process.
