Job Description - De Maio Entertainment, backed by Fremantle is looking for an Office Manager to provide operational support to advance the business objectives. The ideal candidate will have strong management, organizational, and interpersonal skills, with the ability to multi-task and a willingness to roll up their sleeves and lead by example. This is a unique opportunity where upon demonstrated results, the position's responsibilities will grow with the needs of the business.
Job Responsibilities:
• Implementation of office operations and procedures including administration of payroll, bookkeeping, budgets, personnel, information management, filing systems, requisition of supplies, and other clerical services
• Researches and develops resources that create timely and efficient workflow
• Manage contract and price negotiations with office vendors or service providers
• Maximizes office productivity through proficient use of appropriate software applications
• Developing, implementing, and maintaining office policies and procedures
• Manage office responsibilities related to billing to ensure accurate and complete information
• Conduct a monthly reconciliation of every bank and credit card account
• Provide information to the external accountant who creates the company's financial statements
• Manage expenses and expense reports
• Arrange domestic and international travel and generate itineraries, as needed
• Answer telephone calls and schedule meetings across multiple time zones
• Manages the executive's calendar of appointments, activities, and events, advising on essential and important engagements
Qualifications:
• Minimum of five years of relevant experience, preferably at an agency, management company, or within the television industry
• Adapts to changes in the work environment; manages competing demands; changes approach or method to best fit the situation; able to deal with frequent change, delays, or unexpected events
• Ability to prioritize multiple competing responsibilities and work efficiently in a fast-paced environment
• Strong judgment and a high level of confidentiality when dealing with sensitive information and business matters
• Excellent verbal and written communication skills; assertiveness in presenting ideas
• Ability to evaluate risks and opportunities; uses analytical and problem-solving skills; exhibits comfort with ambiguity; takes initiative and strives for results; able to prioritize time
• Strong project management skills; meets deadlines; sense of urgency and responsibility; ability to multi-task and work under pressure; organized and detail oriented
• Ability to think independently and creatively; demonstrates accountability; strong negotiation, conflict resolution and motivation skills
• Location will be based out of Fremantle's Burbank office
