Job Title: Receptionist
Trading Subsidiary/Division: Deluxe 142 Ltd
Reporting to: Reception Manager
Main Purpose:
To provide reception and switchboard cover to Ground Floor Reception at Wardour Street and to supervise the reception team.
You will provide an efficient, client focused reception/telephony service ensuring that visitors and callers are handled promptly and courteously in a friendly manner.
Principal Responsibilities:
• To operate the switchboard swiftly and take all incoming phone calls ensuring that the callers are connected as requested or taking and passing on messages if required
• To ensure you are familiar with all Deluxe companies within the group to assist general callers/visitors to the building
• To meet and greet all visitors in a professional, polite, warm and friendly manner
• To perform general reception duties, including the booking of meeting rooms, updating the telephone list and maintaining a clean and tidy reception area at all times
• Signing-in of staff, guests, clients, contractors and contacting the correct person they have arrived to see
• Booking of taxis and informing staff of their taxi booking details
• Raising POs and checking invoices for Reception and Facilities when required
• To order all stationery and manage the stationery cupboard ensuring all core items are replenished regularly as needed
• Ordering visitor badges/staff swipe passes/lanyards and any supplies for the swipe card printer
• Assist the Security team with CCTV reports/Access Control Reports
• Control of physical keys – monitoring and checking them in and out.
• To be responsible for the access control system ensuring everyone has the relevant security levels or visitor swipe passes and that they swipe in/out of the building at all times. Creating new access control cards or modifying access as required
• To report any Health & Safety issues to the Facilities Department
• Being able to cover reception in absence of the Manger and liaising with agencies to book temps for annual leave/sickness cover
• To be familiar with monitoring and operating the intruder alarm system
• Perform daily and weekend handovers with the in-house Security team to ensure all relevant information is correctly passed on
• To receive all incoming mail and distribute to the correct department/member of staff or client
• To be vigilant regarding individuals entering the building
• Such other admin duties as the management may from time to time reasonably require
Experience/Knowledge:
• Experience as a receptionist
• Experience of dealing with clients/ customers in a professional manner
• Experience of a screen based telephone system
• Working knowledge of MS Office/Computer literate
• Able to maintain confidentiality
• Able to process calls quickly and effectively

Hours of Work: 37.5 hours per week (working on a shift from 8.00 – 16.30, or 09.45 – 18.15)
