Evening Receptionist
General Responsibilities
Guest Relations:
Receive and greet incoming clients and staff, log entries, and track personnel.
Filter and direct incoming studio calls to appropriate contacts/extensions.
Evening Shift – 2pm to 10pm with overtime as needed for production department support
Specific Duties
Studio Operations Support:
Answer and direct incoming calls.
Greet and assist clients.
Assist client services team with food orders and deliveries.
File various documentation.
Reconcile spending receipts.
Coordinate employee security badges and parking passes.
Handle special projects as directed.
Administration:
Conduct administrative duties as necessary such as scanning, filing, and faxing.
Work closely with our Scheduling department to maintain current production schedules.
Work closely with Recruiting to help input candidate profiles into the database.
Handle all projects for the Operations team (parking instruction, employee badges, etc.)
Requirements / Background
Bachelor's degree or equivalent experience
An understanding of Post Production processes is advantageous
Excellent communication and organizational skills, as well as an exceptional eye for detail
Clear and professional phone demeanor
Excellent verbal and written communication skills
Ability to prioritize and multi-task
Outgoing personality
Good organizational skills
Able to handle different personalities and needs
Capacity and interest to learn new material as needed in fast-paced and technical professional environment
As a member of the Client Service team, candidate is also be expected to be ''all hands on deck'' when needed for company events, so a flexible schedule is necessary at times
Business Systems Experience
Proficient with MS Office – Word, Outlook and Excel
Some knowledge of Xytech is helpful
Novatime – Time entry, Report generation
