Full Time Job
The Sales Assistant will have a background in Advertising and knowledge of the post production industry. The assistant will directly support the VP of Short Form and be a liaison between the Production and Marketing team. The ideal candidate will help identify PR campaigns, coordinate on site events, screening presentations, sales trips and client outings.
General Responsibilities
-Apply centralized bidding practices for all offices; including template creation for consistency
-Assist in creating/delivering bids when requested by clients
-Follow up with clients (when it pertains) regarding status of jobs bidding
-Responsible for updating the One Drive with approved rate cards
-Responsible for updating Confluence on a consistent basis for new/existing virtual outposts; create a scheduled calendar on virtual outpost check-ins (in person, including calibrations)
-Collect finished spots per Producer's request.
-Responsible for maintaining VP's schedule including meeting requests, lunches, dinners, outings as well as conference calls
-Attend industry events, outings
-Coordinate sales trips
-Maintain and update sales target lists by region
-Maintain/update job tracking report weekly for all pertinent jobs; correlate opportunities by tracking credit lists by job
- Familiarity with all Company 3 commercial work and ability to assemble reels
-Work with the Commercial Sales and PR/marketing team to identify newsworthy/promotion worthy projects including social media postings

Background
Bachelor's degree in film, art, communications, or related field and/or a combination of equivalent education and professional work experience
Highly developed communication skills
Business Systems Experience
MS Office Excel/Word/PowerPoint/Outlook proficiency
Xytech and/ or post production scheduling software experience is a plus
On-going Responsibilities
• Read the industry trades each morning and call out pertinent announcements
• Expense reports for the Executive Producer
• Keep track of company swag/promotional items
• Assist on updating client contact lists
• Answering/directing calls
• Assist on award submissions for commercial department.
• Support marketing team on event sponsorships within the commercial department.
• Support marketing team with on site events
