DeBaun and Co. is looking for a part-time Executive Assistant to join our growing team. This person will support the CEO and DeBaun & Co. team across brands and workstreams to ensure the day-to-day of DeBaun & Co. runs smoothly through efficient and thoughtful execution of 'in the weeds' tasks, as well as long-term partnerships and projects.
The right person for this role must be extremely organized, able to juggle multiple tasks, detail-oriented, and have strong writing and communication skills.
This role reports to the Founder & CEO, Morgan DeBaun.
This is a remote, part-time role, 10-20 hours a week.
Responsibilities
Creating, maintaining, and executing through Asana project plans to ensure each task is up to date and completed on time
Support CEO & Director of Operations with inbound and outbound brand partnership opportunities and speaking engagement requests, including creating spreadsheets, pitch decks, updating media kits, and internal documentation
Project coordinate on brand partnerships from offer through contract, campaign onboarding, logistics, and content approvals, scheduling, and tracking
Manage and update company data tracking systems and reporting
Attend internal and external meetings, take detailed notes, and distribute notes and next steps internally
Review and organize inbound messages and advising or fundraising requests from early entrepreneurs and founders
Conduct research on new business ideas, opportunities and tools and create detailed spreadsheets, Google docs, or Airtable bases with your findings and recommendations
Support Director of Operations & Chief of Staff to coordinate logistics and briefs for speaking engagements, podcasts, interviews and assist with preparation as needed
Project manage guest information, schedule confirmations, episode outlines and post-show asset distribution for the WorkSmart Podcast
Maintain discretion and confidentiality in all business and personal matters
No day at DeBaun & Co. will be the same, but a typical day could include the following activities:
Setting up an Asana board reflecting the contract and deliverables for a long-term WorkSmart client
Receiving new photos from a shoot and drafting captions for the DeBaun & Co. social portfolio
Reviewing survey data of a recent WorkSmart Webinar and providing a summary to the team during a weekly call
Researching the social profiles and background of a new podcast guest and compiling an informational doc for the CEO & team
Gathering data insights from various social media platforms following the conclusion of a brand campaign and sending a detailed report to a client
Attending a prep/tech call on behalf of Morgan in advance of a confirmed speaking engagement with a university and relaying any must-know information to Morgan & team
Requirements
Minimum of three years of relevant work experience
Must have prior experience supporting an executive (c-level, partner level, founder, etc.)
Experience managing talent or brand partnerships a plus
Experience with Google Workspace (formerly Google Suite including docs, sheets, and slides) is a must. Experience with platforms like Airtable, Asana and others is preferred but not required
Demonstrated written communication and verbal presentation skills, with an ability to synthesize and express concepts efficiently and effectively to a wide range of audiences
Ability to thrive in an accelerated environment, think creatively, and produce innovative solutions
Positive relationship management skills and the ability to effectively interact with a diverse set of partners
Excellent project management and time management skills
Highly organized self-starter who enjoys learning from and building with a team of visionaries and operators
