ABOUT THIS POSITION:
We are seeking an experienced Executive Assistant to provide high-level administrative support to the President of Dear Media, as well as the Talent and Business Development Department. This position will have hands-on exposure and experience with network logistics and scaling the business with ample opportunity for career growth. The ideal candidate will be organized, detail-oriented, and able to handle a variety of tasks with ease, including scheduling, meeting coordination, follow-ups, contract management, managing submissions, and communication across the business and with talent. This role will help support the growing talent department and needs across the business as a whole. Excellent communication and interpersonal skills are required. This person must be able to exercise good judgment, anticipate needs, and perform in a professional and discrete manner. Understanding of the entertainment industry and ability to think creatively is a plus.
The ideal candidate will bring a high degree of organization, creativity, energy and passion for working with the President of Dear Media to increase personal and organizational productivity through the following:
RESPONSIBILITIES:
Support and assist the President of Dear Media and the Talent & Business Development Department on all administrative responsibilities: managing an active calendar, coordinating meeting and call sheets/notes, arranging necessary travel, hotel accommodations and itineraries, compiling expense reports, attending events/set visits with talent
Work closely with other internal teams to manage team meeting agendas, coordinating marketing and PR efforts, assist in pulling together monthly, quarterly and annual talent and network reports
Handle follow-ups and action items to ensure timely completion of tasks
Manage incoming submissions
Oversee and update department materials including decks, reports and trackers
Work with Talent and Production team to onboard new talent to the network
Actively and reactively handle ongoing talent pitches and development across Talent and Originals projects
Coordinate network, talent and partner gifts
Handle regular and consistent interaction with executives and business partners
Draft and/or update contracts
Participate in company-wide initiatives and activities
Commit to furthering individual industry knowledge and professional growth & development
Additional duties, tasks, and responsibilities as assigned
In office 4-5 days a week
QUALIFICATIONS:
1-3 years of administrative assistant experience in a related field (i.e. Talent Management, PR, Marketing)
Previous talent agency or related industry experience is required
Strong written, verbal, and visual presentation communication skills
Excellent interpersonal skills; ability to interact with all personality types and behaviors; flexible
Experience and ability to work efficiently in a fast-paced environment with a high-volume email/workload
Proactive, organized, and detail-oriented work style
Ability to work against deadlines
Ability to act professionally and, many times, with discretion and confidentiality
Proactive, detail-oriented, and extremely organized
Thrives in an entrepreneurial environment
Interest in podcasting, influencer marketing & social media

Dear Media offers competitive salaries and benefits to all employees. Compensation is determined upon the market in which the position is located, the responsibilities of the position, the experience and skills of the applicant, and other job-related factors. The starting salary range for this Los Angeles based position is $22-25/hr.

Salary/Benefits
