Description:
The primary responsibility of the Production Assistant is to perform diversified tasks within the department including both providing primary support and act as a key resource for the owner/executives and to provide superior administrative support. This position requires the highest degree of professionalism and confidentiality based on the nature and exposure to the work being conducted on behalf of the organization.
Essential functions include:
• Performs administrative duties which include but not limited to; scheduling meetings and appointments, organizing and maintaining files, managing special projects, coordinating all travel arrangements, preparing written correspondence, and managing telephone, mail, and e-mail.
• Conduct all activities in a professional and confidential manner.
• Ensure follow-up and timely completion of reports and projects to meet deadlines
• Work independently with reasonable guidance on a variety of special projects
• Use mature, solid judgment always when dealing with sensitive and/or confidential matters/information.
• Proactively greet, interact, and assist staff in a professional manner to foster and promote a cooperative and harmonious work environment.
• Maintain complete knowledge of and comply with all departmental policies/service procedures/standards.
• May greet and screen visitors in person and on the phone, ascertain nature of their business when performing receptionist duties
• Will be required to perform certain duties to assist the owner/executives with variety of different needs
• Performs other job-related duties as assigned.
Qualifications:
• 3+ years of production administrative experience required
• Associates degree preferred.
• Outstanding writing and proof-reading skills commensurate with representing an executive.
• Strong communication skills in dealing with high level clients, strategic partners and outside vendors.
• Proficient in Windows and MAC operating systems, must be computer savvy
Previous experience coordinating special projects, meetings/events and the preparation of strategic plan documents
• Must be able to demonstrate sound judgment, superior decision-making, multi-tasking and problem-solving skills; perform a myriad of duties with extreme care and attention to detail.
• Must be able to read, interpret, write and evaluate reports and instructions furnished in written, oral, diagramed or schedule form.
• Excellent skills in preparing and maintaining records.
• Demonstrated ability to maintain confidentiality of sensitive information and establish/maintain effective working relationships with staff and management.
• Must be viewed as a trusted and supportive resource to the team members of the company at all levels.
• Display a willingness to get involved and provides assistance to fellow co-workers.
Physical Qualifications:
• Working environment is fast paced.
• Frequent sitting throughout the work shift
• Position requires repetitive use of arms for answering busy phones and typing.
• Must be able to meet the attendance guidelines of the job and adhere to departmental and company policies.
