Summary
This position will assist the three SVPs of Legal & Business Affairs and Senior Coordinator in the administration of various production and programming agreements and also fulfill administrative needs of the department.
Essential Functions
• Manage the internal development and production approval/greenlight process in collaboration with Senior Coordinator and the Programming and Finance teams (eRequester).
• Maintain the department's projects and contracts status database and ensure that updates are made on a daily basis.
• Review and process various programming and production invoices for payment.
• Collaborate with Senior Coordinator in ensuring that payments to writers, talent and other production related payments are made in a timely manner.
• Facilitate the execution of production and programming related agreements in collaboration with the Administrative Assistant.
• Coordinate with third-party production companies in ensuring that necessary deliverables are received for each project.
• Organize production and programming contracts by maintaining files and entering data into contracts management system.
• Assist Senior Coordinator in ensuring that all rights and information are correctly reflected in the rights management system.
• Assist Senior Coordinator in ensuring that productions are set up with third party entertainment payroll company for residual payments.
• Assist in obtaining and circulating information on credit and publicity requirements/restrictions for licensed programming and ensure that the Marketing and Publicity departments are aware of such requirements.
• Provide administrative support to the department by answering phones, ordering supplies, maintaining calendars, coordinating travel and scheduling meetings
• Prepare and submit expense reports.
• Facilitate the scheduling of various production business affairs related conference calls.
• Respond to unsolicited program idea and script submissions.
• Process legal and other invoices.
• Distribute usage reports to third-party licensors and producers.
• Organize legal contracts by maintaining files and entering data into contracts management system.
• Be proficient in rights management system.
• Distribute mail and files.
• Prepare written letters and correspondence as directed.
• Assist department with other projects as assigned.
Basic Requirements
• High school diploma or GED
• Minimum of three years of experience working in a production or studio business affairs setting
• Must have strong computer skills, including Word, Excel and Outlook
• Must have prior experience reconciling invoices and expense reports
Other Requirements/Characteristics
• Bachelor's degree from a four-year college or university preferred
• Previous experience in a legal and/or entertainment environment preferred
• Paralegal certificate preferred
• Must have excellent organization skills
• Must have excellent verbal and written communication skills
• Must have the ability to prioritize workload
• Must have the ability to support 4 executives simultaneously
• Must have the ability to communicate with top level executives, such as CEO and CFO
• Must have strong ability to interact with employees at all levels of the organization
