COWAN, DEBAETS, ABRAHAMS & SHEPPARD LLP, a boutique New York and Beverly Hills law firm focusing on entertainment, digital media and intellectual property is seeking an Administrative Assistant to primarily provide direct support for our LA Partners in the Entertainment practice group. We're looking for someone who is intelligent, proactive, self-motivated, detail-oriented, and resourceful, and who is a team player willing to assist in managing the logistical and administrative tasks associated with the day-to-day operation of our firm. The bulk of duties are billing, scheduling and calendar, as well as internal customer service driven responsibilities.
Primary Duties
• Time entry and process billing for Partners
• Calendar management and scheduling
• General office clerical and administrative support/Off-hour backup to NY desk
• Arrange travel, itineraries, business development and client entertainment activities for Partners
• Updating deal status and monitoring client communications for Partners
• Tracking agreements and contracts; Circulating documents for signature; Filing of contracts (electronic)
• Be onsite point of contact for building management and third-party service providers and liaise as necessary
Qualifications
• Must have 2 years of clerical, administrative experience or relevant experience. Previous desk coverage experience at either an entertainment firm or at an agency, network or studio.
• Proficiency in MS Office suite and other electronic databases.
• Excellent verbal, written, and interpersonal skills.
• Able to develop and maintain both professional and congenial relationships with attorneys, senior management, staff, business associates and clients; Provide outstanding client service at every level of interaction with all groups.
• Ability to communicate comfortably, courteously and effectively with clients, attorneys, employees, and outside parties.
• Possess exceptional organizational skills and be able to work both independently and collaboratively on a team in a friendly and team-oriented manner.
WE ARE CURRENTLY WORKING PARTIALLY REMOTELY, SO THIS ROLE WILL BEGIN PARTIALLY REMOTELY, BUT WILL EVENTUALLY BE AN IN-OFFICE POSITION. Specific questions regarding this and our COVID-19 related operating procedures can be addressed at the interview stage.
