General Description: Salaried, full time position. Performs project management under the Creative Director of all publishing divisions in conjunction with Content Capital. Responsibilities may include coordinating the completion of projects within a set budget, managing freelancers, setting budgets, preparing reports, and directing workflow. Requires strong computer, writing, and internet research skills as well as a working knowledge of the publishing industry. Also calls for flexibility, excellent interpersonal skills, maintaining a maximum level of confidentiality, project coordination, and the ability to work well with all levels of internal management and staff, as well as outside agencies, vendors, high impact clients, and freelancers.
Reports To: Creative Director of Content Capital
Responsibilities:
- Provides overall department support (i.e. updates and manages schedules, acquires printing quotes, maintains seasonal budgets, codes and processes manuscripts)
- Ensure that all projects are delivered on-time, within scope and within budget
- Assist in the definition of project scope and objectives, involving all relevant stakeholders and ensuring feasibility
- Develop a detailed project plan to monitor and track progress
- Coordinate internal resources and freelancers for the flawless execution of projects
- Manage changes to the project scope, project schedule and project costs using appropriate verification techniques
- Measure project performance using appropriate tools and techniques
- Report to management as needed
- Manage the relationship with the client and all stakeholders
- Perform risk management to minimize project risks
- Establish and maintain relationships with third parties/freelancers
- Create and maintain comprehensive project documentation
- Meet with clients to take detailed ordering briefs and clarify specific requirements of each project
- Delegate project tasks based on individual strengths, skill sets and experience levels
- Track project performance, specifically to analyze the successful completion of short and long-term goals
- Meet budgetary objectives and make adjustments to project constraints based on financial analysis
- Develop comprehensive project plans to be shared with clients as well as other staff members
- Liaison regularly with authors, printers, and both print and electronic designers by phone and email
- Ensure that authors have provided all the required materials and paperwork (i.e. contracts, payments, and final file approval form)
- Communicate effectively all aspects of the publishing process
- Resolve queries directly with the author, e.g. style, text, design inconsistencies
- Make corrections directly to publishing files
- Coordinate recording logistics, create timelines, and plan out of town client travel
- Effectively communicates editorial, design, and printing needs to client, freelance editors and designers, as well as internal supervisor and team
- Packages and ships books for LCCN and copyright
- Write drafts of certain copy like back cover copy, press releases, and editorial letters
- Interpret a client's vision and make it a tangible and deliverable product
- Develop spreadsheets, diagrams, timelines, and process maps to document needs
- Oversee the work of freelance indexers, typesetters and other designers when used
- Review submissions sent to the company and determining viability
- Secure ISBNs, Barcodes, Library of Congress submissions, etc. for clients
- Coordinate with printers, distributors, and fulfillment centers as necessary
- Perform other related duties as assigned
Qualifications:
- Proven working experience in project management
- Proven editorial and grammatical skills
- Excellent client-facing and internal communication skills
- Excellent attention to detail
- Excellent written and verbal communication skills
- Solid organizational skills including attention to detail and multitasking skills
- Strong working knowledge of Microsoft Office
- Bachelor's Degree in appropriate field of study or equivalent work experience
- Strong working knowledge of Adobe Suite (InDesign, Illustrator, Photoshop) a plus
