POST COORDINATOR
ROLE & RESPONSIBILITIES
OVERVIEW
The Post Coordinator serves as the operational backbone of the post department. They manage the day-to-day rhythm of the office, keep vendor communication organized across projects, and ensures Post Production has the administrative support needed to keep everything running smoothly.
CORE RESPONSIBILITIES
Project Tracking Support
Assists in maintaining project status trackers, timelines, and delivery schedules. Proactively flags delays or gaps to the Post Producer.
Vendor & Bid Tracking
Reaches out to post vendors - editors, colorists, VFX, mix, online - to check availability per project. Collects, organizes, and tracks incoming bids via the vendor reachout tracker.
Meeting Scheduling
Coordinates and schedules internal post meetings, client check-ins, and vendor calls. Manages calendar invites, sends agendas where applicable, and follows up on attendance and action items.
Process Development
Collaborate with the Post Producer to document, refine, and implement operational workflows across the post department. Maintain standard operating procedure, templates, archival processes, and documentation to improve consistently and efficiency.
Archive Upkeep
Responsible for the general upkeep of the company frame.io account. Projects should adhere to the standard archiving process after being wrapped for 7 amount of days. Projects and folder structures should be standardized and easy to navigate.
Vendor Roster
Responsible for managing the vendor roster list per project. Maintain records for the quality of work and overall experience with the partnership as part of every project wrapup.
Post Mortems
Coordinate and own post mortems for each project. Gather thoughts and feedback from key stakeholders cross functionally on what went well, what went wrong, and what could've been done differently. These should be held regularly as a meeting each quarter.
Project Archive
Primary point person for managing and maintaining the company project archive and vault. The Coordinator is responsible for ensuring completed projects are properly processed and archived according to established standards, tracking outstanding archive tasks, and maintaining the ongoing roadmap and organization of the archive system.
DEPARTMENT DEVELOPMENT PROJECTS
In addition to day-to-day assignments, the Post Coordinator will lead and support long-term operational initiatives that strengthen the company's post production infrastructure. These projects require planning and execution and should be prioritized during periods of available bandwidth in alignment with the Post Producer.
* Archival Pipeline - Coordinate and help implement a standardized archival workflow, including LTO backups, cloud storage, documentation, and long-term asset management.
* Bulk Drives Purchase - A well organized proposal for purchasing drives in bulk that includes a price comparison and breakdown on benefits.
* Post Mortems - Standardize the post mortem process across all projects by creating a template structure to the meeting, records, and follow-up procedures.
* Google Drive Post Center Restructuring - Up-to-date layout that's intuitive and well used across each project.
