Personl Assistant for High Profile Ent Talent
Seeking a super Flexible Personal Assistant for High Profile Individual!
Location: Position is Los Angeles based! Will vary between LA and San Diego
Schedule: 24/7 On call - MUST be 100% Flex!!
Compensation: Up to $120k DOE for the right person! Benefits after 3 months: (medical, paid time off)
Seeking a full time Personal Assistant for a high profile individual. This is a multi-dimensional role, which interfaces with all aspects of the operations of the client. The key responsibility of the Personal Assistant is to professionally and personally support the client as required in an efficient, proactive, effective and energy-conscious manner. The primary duties include:
Providing personalized and administrative support in a well organized and timely manner, while working from the home, on the road, or during travel.
Being a direct liaison for the client, working closely with the Chief of Staff and Management while onsite at the office, studio, events, on tour, or for appearances.
Maintaining efficient workflow and seamless information exchange.
Being a representative of the client, and always keeping this in mind for any communication exchange that is made.
Overseeing thank you notes, RSVP's, and any professional correspondences on behalf of the client.
Attending events and appearances, coordinate logistics, along with Chief of Staff and Management for optimal efficiency and productivity. Act as a main point of contact for all movements onsite. Proactive communication and pre-planning is essential for all events and activities.
Managing regularly required personal activities such as: medical/aesthetic appointments, sports & leisure activities, physical workouts, and children's school/sports activities.
Providing administrative support as needed including sending emails and correspondence on behalf of the client, with full approval and directives prior.
Providing highly detailed concierge-like services during family/personal time, as requested and needed by the client.
Management of company card and reporting of expenses; liaising with business manager's office.
Investigation and research of areas involving the industry and/or any subject matters as requested; formal presentation may be required to be made and presented.
On days with the client, it is important to monitor and manage meals and any dietary needs. Always proactively thinking of needed supplies and options, particularly when traveling domestically or internationally.
Handling email traffic, requests and queries appropriately and timely with priority given to items that require approval and feedback from the client.
Managing scheduling duties including: meetings, appointments, and travel arrangements (working closely with Chief of Staff).
General maintenance of electronic devices
Maintaining and executing a variety of projects including: Personal shopping, gifting coordination and social
Calendar, Family related activities and appointments
General requirements include:
Speak, write and read English language with detail to all grammar.
Possesses legal documentation to work in the US, and valid passport/driver's license
Excellent interpersonal communication and organizational skills.
Excellent verbal and written communication by text, email and phone
Excellent computing skills using Mac OS, iPhone, Internet and Outlook
Must be professional in any form of liaising with individuals, particularly when directly representing the client in any form i.e. airline staff, hotel staff, tour staff, and any individuals at events that the client is present; and any other offices that may be in communication both inside and outside the business.
Discretion, good judgment, adaptable, flexible, and versatile.
Excellent organizational, planning, time management and prioritization skills.
Must be reliable and detail oriented.
Initiative and ability to work independently, and efficient follow-through.
Excellent problem solving ability, and proactive analysis of situations - particularly when traveling for any reason around home base or abroad.
Expected schedule is as follows:
This is a full time, on-call position. The Personal Assistant must be 100% flexible, available 24/7 via phone/text and onsite as needed.
A 7-day workweek is not uncommon. This position travels domestically and internationally, and the Personal Assistant should be well prepared to travel at a moment's notice (having a small bag packed at all times)!
