Personal / Executive Assistant to Musician
Location: Nashville, TN (in-person)
Schedule: Full-time, with flexibility for evenings, weekends, and travel as needed
Overview:
We are seeking a highly organized, proactive, and adaptable Personal/Executive Assistant to support a musician in both professional and personal capacities. The ideal candidate thrives in dynamic environments, anticipates needs before they arise, and handles confidential matters with the utmost discretion.
Key Responsibilities:
Oversee the artist's daily schedule, priorities, and ongoing needs, adjusting quickly to changing circumstances and requests.
Manage multiple residential properties in Nashville, including coordination of household staff, vendors, and maintenance.
Serve as the primary liaison between the artist and team members including management, agents, publicists, lawyers, and other key stakeholders to ensure seamless communication.
Coordinate all travel logistics including domestic and international for business and personal trips; accompany the artist on tour to support daily needs and logistics.
Collaborate with tour management to ensure show-day readiness, including green room setup, rider fulfillment, scheduling, and escorting the artist for sound checks, performances, and interviews.
Act as Production Coordinator for music video shoots: booking talent, organizing travel, negotiating contracts, and overseeing daily on-set needs.
Maintain strict confidentiality while managing sensitive and private information.
Participate in daily briefings to review priorities, track progress, and address any new developments.
Provide a high level of judgment, professionalism, and problem-solving across all responsibilities.
Qualifications:
Minimum 3-5 years of experience in a similar role supporting a high-profile client, artist, or executive.
Valid driver's license, reliable transportation, and a current passport are required.
Strong multitasking and time management skills; calm under pressure and comfortable in fast-paced environments.
Excellent communication and interpersonal skills, with a professional and positive demeanor.
Flexibility to travel and work non-traditional hours when needed.
Proficiency in managing logistics, scheduling tools, and vendor coordination.
Trustworthiness, discretion, and a 'no task too small' mindset.
Preferred Experience:
Previous experience working as a personal assistant is preferred.
Previous experience working in the entertainment industry is preferred.
Experience traveling domestically and internationally.
Self-starter with strong critical thinking skills.
Adaptable in a variety of situations and environments.
Able to 'read the room' and anticipate needs.
Genuinely enjoys being of service and maintaining a positive attitude.
