JOB: Executive/Personal Assistant
TYPE: Full Time
Language: English (Required)
HOURS OF WORK: 40 Hours/Week
LOCATION: The successful candidate must live in the NYC area (Preferably Brooklyn)
JOB OVERVIEW:
Celebrity looking for an outgoing, enthusiastic, and dedicated individual who wants to be part of the team. The successful applicant will be the executive/personal assistant to Winnie Harlow and will need to be well rounded and hard working in order to keep up with the demands of her daily activities and scheduling.
ADMINISTRATIVE DUTIES:
- Managing emails, which includes responding to and sending out emails to clients and team members
- Working closely with management team members
- Sending out weekly reports
- Attending important meetings in person or via conference calls.
- Scheduling and managing the events calendar
- Social media management
- Coordinating logistics for travels
- Regularly engage, liaise and book appointments with clients and collaborators through a variety of mediums while maintaining privacy and confidentiality
- Thoroughly understand and complete important documentation on Winnie's behalf
- Liaise with clients & maintain positive relationships
PERSONAL DUTIES:
- Running daily errands which include, but are not limited, to groceries, personal shopping, shipping out mail, etc.
- Coordinate special projects including, but not limited to, birthday events, NYE events, family vacations, interior design, etc.
- Scheduling of personal appointments (i.e. Doctors's appointments, Dentist Appointments, Hair appointments, etc.)
- Coordinate house keeping duties
- Accompany the celebrity to photo shoots, auditions, and events.
QUALIFICATIONS:
- At least 2 years customer service experience
- At least 2 years of administrative experience
- High level of initiative and self-direction
- Excellent time management skills
- Excellent phone skills (etiquette)
- Be able to work with minimal direction/supervision
- Ability to handle deadlines and stressful situations
- Courteous, positive and service-oriented
- Capable of managing multiple tasks simultaneously
- Organize and manage client contact information
- Excellent communication skills both verbal and written
- High level ability to multi task
