Job Title: Personal Assistant
Location: Los Angeles, CA
Reports to: The Chairman & Chief of Staff
Commitment: Full Time, possibility to grow into Domestic & International travel
Job Description: A boutique brand strategy and think tank collective is seeking a highly qualified and proactive Personal Assistant for its Founder and Chairman. The person in this role will be responsible for managing a breadth of personal and administrative functions in order to set our Chairman free to focus on what matters most. The right person will be a tight operator, detail oriented, confident and secure. They must be committed to representing the office of the Chairman with integrity, authenticity and excellence. Celebrity savvy, polished and professional demeanor are required.
This role works directly with the Chief of Staff to implement and maintain systems for efficiency and to further increase the productivity of the Chairman. The role's key functions include personal task management, calendar management, daily guidance, travel & logistics, and gatekeeper duties. The ideal candidate will have the ability to stay professional and on task in a multitude of environments; including a home setting, on the road, on-site at meetings/events, and in office.
The person in this role will have the opportunity to continue to evolve over time, provide new levels of service as needs grow, and build with a company that is rapidly expanding. We are looking for someone who is passionate about the assistant role and is looking for a long term client to support through thick and thin.
Critical Tasks and Responsibilities:
Personal Task Management: Including travel preparation & occasional packing, creating and maintaining travel provision checklists, meal planning and procurement, filling prescriptions and scheduling doctors appointments. Offering support to the Chairman's family as needed; including scheduling, research, reservations, shopping, and weekly touchpoints with the Chairman's wife. This role is also responsible for creating and submitting expense reports, building an executive personal playbook and tracking the Chairman's preferences.
Calendar Management: Including working with the Chief of Staff to facilitate meeting requests, managing frequent reschedules, alerting the team of urgent adjustments and similar in fast paced, highly changeable environment; always with an awareness of good use of the Chairman's time and an eye to priority alignment
Daily Guidance: Including shepherding the Chairman into and out of scheduled commitments, and ensuring he is fully briefed and prepared for all engagements. Requires ability to see Chairman from a human perspective and anticipate basic needs of food, water, breaks and similar.
Travel & Logistics: Working with the Chief of Staff to identify Chairman's personal and professional travel needs; including ground transportation, advancing hotels, providing riders, scheduling family activities, creating local city guides, etc. This role is also responsible for managing and executing of-the-moment scheduling and travel changes, building and updating itineraries, and communicating the Chairman's movements to relevant parties.
Gatekeeper Duties: Serving as a first point of contact and ambassador in the field for others who need access to the Chairman. The person in this role will need to defend the Chairman's time and energy and ensure that vital messages are relayed and cascaded as necessary. Interacting positively with others and maintaining relationships both internally and externally is a must.
