The Payroll Support Coordinator supports a non-scripted, documentary film company with 15-20 active shows, supporting 150+ freelance employees, and has crews working in multiple states and internationally; as well this position will also support the company's other entitles in scripted and commercial. This position serves to support the Finance Department and Show Production Management with general Payroll support. The Coordinator acts as the gatekeeper to the generation of Freelance Payroll and maintains a working knowledge of all active shows and payroll cycles. The Payroll Support Coordinator will act as the main liaison between the company and third party-payroll provider, as well as manage deadlines, establish best practices to ensure Payroll is completed in a timely fashion, and work with all departments of the company to ensure compliance.
Essential Functions:
Acts as first review of each production's weekly payroll looking out for errors or discrepancies in regards to overtime, meal penalties, worker's comp percentages, kit rental backups, mileage records, and per diems;
Works with Production heads and HR to ensure worked hours/days are accurately reflected and terms submitted on timecard are accurate to the active deal memo;
Ensures all backup paperwork like kit rentals backup and mileage forms are IRS compliant
Ensures timely and accurate submission of payroll, including benefit deductions and deferral amounts;
Receives and files all completed start packets and deal memos to the appropriate show file;
Responsible for copying and scanning documents;
Coordinates with the accounting team in order to ensure all documents are accounted for and properly tracked and filed.
Other Duties & Responsibilities:
The position requires an individual comfortable with working independently and in a team environment;
This position requires the highest level of confidentiality to be maintained at all times;
A basic understanding of the Entertainment/ Television Production Industry;
Basic knowledge of filing and labeling systems.
Qualifications:
2-3 years of relevant work experience in Payroll; Entertainment experience is not necessary but a working knowledge of television production and the entertainment industry is a big plus;
An Accounting background is not required, but an interest in the Accounting field is beneficial
A general knowledge of Labor Laws, specifically California and New York; additional supplementary knowledge of international labor law is a plus;
An understanding of unions and guilds is a plus
Experience with entertainment accounting softwares such as Cast & Crew, Media Services, EP Smart Accounting, or CAPS is a plus
Must be proficient in Microsoft Office (Excel, PowerPoint, Word)
Must be comfortable with the Macintosh Operating Systems
Self starter, able to work independently as well as part of a team
Physical Demands:
This position requires some light lifting with no more than 5-15 pounds unassisted.
This position requires heavy computer use so the candidate must be able to sit for the duration of their shift.
Work Environment:
This position works in a very quiet environment.
This position requires no travel.
This position does not require the use of a company or personal vehicle for work related tasks.
