Working closely with the director of operations and the company owners, the office manager will keep our Pasadena office in good running shape and ensure our staff is well taken care of. The ideal candidate should be comfortable with wearing many hats and be willing to step in as needed even when the task is outside the job description. Below are the main job duties but additional tasks may be assigned. This job is full time employee position in office only. We are a small creative studio specializing in film marketing production and post production. We have offices in Pasadena and Atlanta.
Duties
Building Maintenance
Serve as the point of contact for office maintenance and amenities
Supervise vendor work (construction, electrician, phones, IT)
Be aware of office upkeep - notice when things are broken or need attention
Liaise with cleaning crew and be aware of office cleanliness
Ensure office health and safety protocols are being followed
Interface with landlord on any building issues
Order new furniture and replace/fix/sell old furniture
Organize and maintain storage and equipment closets
Security Management
Be a member of the security team
Be vigilant of security issues inside and outside of the building
Understand and implement internal policies and procedures
Monitor security cameras
Program and track key fobs/access control
Work with IT on physical security of the building and participate in studio security assessments
Be sure office opening and closing procedures are being followed
Operational Management
Support Atlanta based director of operations
Assign parking to staff and guests and manage monthly parking
Monitor and purchase office supplies
Purchase and stock office food/drinks
Help set up office for new staff members
Facilitate office events/parties and assist with promoting positive company culture
Receive and process mail and packages (scanning and sending to the appropriate party)
Answer (light) phones as needed
Greet visitors and give tours of building if necessary
Provide general admin support to our employees
Provide secretarial support to owners as needed
Requirements
Preferred at least 3-5+ years of office and administrative experience
Be a problem solver
Able and willing to lift 50+ pounds
Understand basic office maintenance
Be able to do light handy person duties (changing lightbulbs, hanging picture frames)
Attention to detail
Be extremely proactive
Work well on their own with minimal supervision
Proficiency in MS office and general knowledge of gsuite/google drive
Be tech savvy and have some IT knowledge
