A top entertainment Public Relations firm based in Los Angeles is seeking an Office Manager with experience and interest working in a fast-paced, ever-changing environment.
This position is responsible for managing the office and assisting the staff.
Responsibilities include, but not limited to
• Manage office security systems and access.
• Liaise with building management for NY and LA offices
• Handle Covid related protocols
• Troubleshoot general office inquiries
• Update all staff related documents, phone lists, addresses, birthdays, handbook
• Supervise new staff onboarding
• Facilitate meeting preparation by setting up for internal meetings as well as managing the conference room /lounge reservation calendar
• Handle shipping for the office
• Negotiate the purchase of office supplies, kitchen supplies, furniture, computers, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions
• Supervise the maintenance and alteration of office areas and equipment, as well as layout, arrangement, and housekeeping of office facilities
• Coordinate internship application submissions and filing prospective hire's resumes
Preferred Experience and Skills
• Minimum 5 years experience
• Proficient in Microsoft OfficeSuite - Excel, Word, PowerPoint, Outlook
• Excellent organizational and multi-tasking skills
• Able to work on multiple projects at once with the ability to prioritize tasks
• Strong ability to solve problems, be resourceful and think independently
• Able to handle any/all confidential information, issues and matters in a sensitive manner
• Ability to maintain a high degree of professionalism in a fast-paced work environment
• Enthusiastic, committed, and proactive; can be counted on to get the job done.
