Office manager/receptionist for entertainment company with overall deal and multiple feature films and television series in production, seeks full time office manager/receptionist to over see daily office functions for core staff and editorial department. Former desk and/or production experience required (not including internships). Previous experience running busy office with general knowledge of production and post production workflow highly preferred. This company cultivates its relationships and office dynamic and is looking for the right fit. Someone with a no task to small attitude who has the ability to multitask and wear many hats. Cannot stress enough that this position requires adaptability and know how to navigate all areas of the production process in support of the company as a whole.
Job responsibilities include:
- Open office each morning
- Manage day to day office needs (i.e. supplies, snacks, greeting guests, answering mainline, deliveries/courier services)
- Order office lunches, snacks, supplies, etc.
- Manage interns
- Serve as point person for all departmental vendors (i.e. scheduling any IT/network, building, or security troubleshooting)
- Must have a general comprehension of IT/ability to learn it (we do have consultants for this but no one full time so many times troubleshooting questions/solutions will land on this person)
- Coordinate conference room usage
- Update and maintain office best practices
- Oversee office and guest parking
- Restock snacks, drinks, coffee maker
- Keep office clean/pick up after meetings
- Track monthly office expenses
- Coordinate any editorial needs (our office is built to hold 1 feature film or 1 pilot editorial staff in addition to the company's core staff) - this is minimal but this position serves as a point person to all productions renting space.
- rolling calls/covering for other assistants when needed
This company recently moved off a studio lot to their own office and are still devising best practices for how the new office and all it's departments/facets can run the most effectively. Plenty of room to help in streamlining this for the new office and its staff. Must be a big time problem solver, must be able to juggle multiple projects/requests simultaneously, and must have a positive can-do attitude.
