The Office Manager will oversee the overall operations of the office, the building facilities, and provide administrative and HR support, handling a wide range of executive related tasks, creating and communicating a welcoming atmosphere and positive experience for all clients, vendors, and staff. Perform work with a high level of accuracy, detail-oriented, ability to handle multiple priorities, and be a self-starter. Understands the concerns and daily priorities of the office, maintain flexibility, and pro-actively tackle issues when necessary. Effectively evaluate and communicate priorities, knowing at what level to involve management and executive stake holders. Learn and understand the workings of the company on a broad level to assist the front desk in all related activities. Demonstrate ability to define, lead, and own project work. Skilled problem solver with the ability to create and communicate solutions.
Responsibilities:
Office:
o Seating Chart
o Craft Services
o Office Supplies
o Reception
o Office PA's (typically 3 full time)
o Parking Cards/Invoicing - Distribution & Collection
o Suite Renovation Projects
o Furniture
o Office Events (Monthly Breakfasts, Parties, Food Trucks, Interoffice Activities)
o Air Conditioning
o Building Related Notifications
o Freight Elevators
o After Hours Office Needs
o Service Orders for Building (Maintenance)
o Email to New Hires regarding First Day
Administrative:
o Overhead Employee Payroll Processing (Staff & COGS)
o Development Project Payroll (non-funded projects)
o Employee On-Boarding with online start paperwork system - making sure all documents are accurate for each project for all production employees - Deal Memos, Start Paperwork, Federal & State Legal Notification Documents
o Oversee Employee Relations /Exits/HR Needs
o Tracking of Start Dates and requirements for all new employees - equipment, space, parking, building access
o Tracking of end dates of all employees
o Tracking of vacation and sick time for production and corporate employees
o Execution and Communication regarding Production & Corporate Employee Handbooks to ensure procedures are followed and executed by each employee as required
o Tracking & Implementation of Sexual Harassment Training as required by all employees (determination of who needs to complete)
o Oversight of Corporate Employee Benefits, making sure every employee renews insurance and proper benefits are offered to each employee
o Oversight of Benefits for Production Employees, tracking start and end dates to ensure proper collection of amounts due from each employee
o Oversee Receptionist and Production Assistants
Qualifications Required:
o 3 years+ experience working in a television production company environment preferred.
o Bachelor's Degree preferred
o Exceptional customer service and team skills
o Excellent written and verbal communication skills
o Must be flexible and adaptable, with the ability to handle multiple priorities.
o Flexibility with hours
o Knowledge and interest in television
o Highly organized, great people management skills and fast learner
o PC skills including Microsoft Office (Word, Outlook, PowerPoint, etc.)
