Job Title: Office Manager/ Production Coordinator
Job Description: We are an audio post-production company located in Santa Monica. Though our office is on the small side, we work with a wide variety of advertising agencies and production companies all over the world to create original music and sound design for top-tier brands.
The Office Manager position is entry-level, but the right candidate must be comfortable wearing a variety of hats. He/she serves as receptionist, provides client services, and also handles business affairs (among other miscellaneous duties). The ideal candidate would be willing to learn the business and assist with sales and production as well. A love for music and entertainment would be advantageous, but is not required. Must be comfortable collaborating as well as working independently. Strong organizational skills and attention to detail are imperative. This position runs errands, so reliable transportation and a willingness to drive in the Santa Monica area are both needed. We are looking for a positive person with a friendly, can-do attitude. A fondness for dogs is also a plus.
Job Duties/Requirements:
Answer phones, take messages, and route calls
Create POs, track expenses, generate, administer and process invoices, collections, process office bills, correspond with composers and other vendors
Assist with sales and outreach, occasional light research
Keep office kitchen stocked, purchase office supplies, run local errands as needed
Sort and receive incoming mail, ship occasional packages
Assist Executive Producer and other employees as needed
Order lunch and/or prepare spreads when clients are in
Receive visitors, open and close office
Facilitates logistics pertaining to production on certain projects (booking air/hotel/ground travel, scheduling/booking for location recordings. Booking racetracks, airport runways, and recording studios per job requirements.
Proficiency in sites such as Facebook, Instagram, YouTube, and Twitter are a must. Detail orientation and self-organization will be needed to be fully successful.
Maintain thorough job records, mailing and e-mail lists, databases, files, and other assets
Must be able to work independently but be a team player and flexible.
Strong computer skills including Google Suite and MS Office (Word, Excel & Outlook & PowerPoint) are a must.
Hours: M-F, 9 am - 6 pm
Salary: DOE ~$32k - $40k salary + Health insurance
