Los Angeles based film & television production company seeks an Office Assistant to be the first point of contact for a busy demanding environment.
In summary, the chosen candidate will be tasked with the following duties:
Office Assistant Essential Duties and Responsibilities:
• Responsible for receptionist duties. This includes answering phones, directing calls, taking messages, updating calendars and maintaining an internal phone directory.
• Responsible for general filing duties as needed. Greets and assists all clients and visitors. Provide exceptional Customer Service. Make sure sessions start on time and communicate any delays.
• Forwards information by receiving and distributing communications; collecting and mailing correspondence; copying information.
• Maintains supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to work stations.
• Maintains equipment by completing preventive maintenance; troubleshooting failures; calling for repairs; monitoring equipment operation
• Prepping studios, ordering and coordinating lunch runs for team. Coordinating car service for talent as needed.
• Read and write coverage for incoming book and script submissions; and work on special projects (research,etc)
• Perform other related duties as assigned.
Requirements:
• Proficiency in Microsoft Office Suite
• Hands-on experience with office equipment (e.g. fax machines and printers)
• Professional attitude and appearance
• Solid written and verbal communication skills
• Ability to read scripts and provide useful short coverage and comment
• Ability to be resourceful and proactive when issues arise
• Excellent organizational skills
• Multitasking and time-management skills, with the ability to prioritize tasks
• Customer service attitude
