Lead Office Assistant / Assistant To President (Owner)
Our small but extremely busy licensed and bonded music talent booking agency for multi platinum selling, internationally known rock Artists needs a mature, professional, and dependable Lead Office Assistant. We run a boutique agency with four (4) busy agents working in direct support of the company Owner/President; our Lead Office Assistant needs a specific skill set and disposition to succeed. Our Lead Assistant needs the experience and education necessary to maintain a sense of humor and personable disposition when dealing with urgent business, pending contracts, and occasional personal matters. He or she must think quickly, be comfortable in a fast-paced environment, adapt to different personalities, and stay positive throughout. The right candidate is highly professional, upbeat, and confident in discretion as the nature of our business' success relies on our ability to produce results in a pure, honest and extremely confidential manner. Casual attire work environment.
The hours are generally 8AM to 4PM Monday - Friday but we are willing to adjust hours to Part-Time, Full-Time, or a flexible variation for the right candidate.
Duties include but not limited to:
-Maintain office schedule for staff as needed.
-Maintain schedule and calendar (personal and professional) for president.
-Run errands for (personal and professional) for president.
-Arrange and coordinate meetings, travel arrangements, and detailed travel itineraries including flights, hotels, auto rental, restaurant reservations, etc. as needed.
-Communicate with all clients. This is primarily by phone and email but regularly in person so professional communication skills and a positive attitude are critical.
-Regularly communicate with Artists' management, PR, TM, and other affiliates. As with our clients, prompt, competent professionalism is pivotal.
-Relay all incoming calls and messages to appropriate office personnel.
-Retrieve daily emails from clients, vendors, etc. and respond quickly and appropriately.
-Follow up as instructed to all incoming messages.
-Prepare reports for internal use.
-Date Entry.
-Draft professional contracts.
-Audit tour schedules.
Qualifications:
-Must be proficient in Microsoft Office including PowerPoint, Excel and Word.
-Must be proficient in Microsoft Outlook.
-Must be Internet, Computer and Social Media Savvy.
-Bachelor's degree (not required but strongly encouraged).
-Experience in the music business (not require but strongly encouraged).
-Must be able to anticipate the Owner/President's needs once acclimated to the job.
-Must have strong organizational skills.
-Must be able to multi-task and meet last minute high priority deadlines.
-Must be willing to go the extra mile on evening or weekends (as needed).
-Must have outstanding communication skills and telecommunication skills.
-Ability to operate office FAX, Copy and Multi-Line phone system.
-Filing and other organizational tasks that include attention to detail.
-Maintain office supplies including stock, inventory and ordering.
-Contribute to team effort by accomplishing other related tasks as needed.
