EXECUTIVE / PERSONAL ASSISTANT
Award-Winning Entertainment Company
Los Angeles, CA | Full-Time | Hybrid | Entry-Level / Early Career
Are you highly organized, resourceful, tech-savvy, and the kind of person who loves making things happen?
Do you love entertainment, unscripted television, social media, and working in a creative, fast-paced environment?
An award-winning Los Angeles casting company is looking for an exceptional Executive / Personal Assistant to work directly with the CEO and become an integral part of our team.
This is an exciting opportunity for someone at the beginning of their career who wants hands-on experience inside the entertainment industry. We are willing to train the right person. We care as much about attitude, initiative, judgment, and work ethic as we do about previous experience.
You might be a recent college graduate, an assistant ready for your next opportunity, or simply an incredibly organized person who wants to build a career in entertainment.
This is not a position where you'll be doing the same thing every day. One moment you may be coordinating the CEO's calendar and preparing materials for an important meeting; the next you may be researching talent, creating a social media post, organizing a database, scheduling a personal appointment, coordinating a vendor or service appointment, or handling an errand.
No task is too big or too small.
We're looking for someone who sees what needs to be done, takes ownership, finds solutions, and genuinely enjoys keeping a busy executive's professional and personal life organized and moving forward.
WHAT YOU'LL DO
You'll provide both professional and personal support to the CEO, including:
• Manage a busy and constantly evolving calendar, including meetings, appointments, rolling calls, reminders, and schedule changes.
• Coordinate professional meetings as well as personal appointments and commitments.
• Help the CEO stay ahead of priorities, deadlines, follow-ups, and important details.
• Prepare meeting materials, binders, documents, grids, presentations, and other materials.
• Organize and maintain company files, databases, Google Drive folders, records, and internal systems.
• Conduct talent, entertainment, industry, and general research.
• Assist with company social media, including brainstorming content, writing posts, creating graphics in Canva, and helping coordinate content across platforms.
• Help with special projects across casting, marketing, and company initiatives.
• Assist with personal errands, purchases, returns, deliveries, appointments, and other day-to-day needs.
• Coordinate personal and household-related needs, including vendors, repairs, maintenance, service appointments, and deliveries.
• Help research and book restaurants, travel, services, gifts, appointments, and other needs.
• Communicate professionally with executives, clients, talent representatives, vendors, and other contacts.
• Work closely with the entire team and jump in wherever help is needed.
• Anticipate needs and look for ways to make the CEO's day - and the company's workflow - run more smoothly.
WHO YOU ARE
We would love to meet someone who is:
• Exceptionally organized and naturally detail-oriented.
• Proactive - you don't always wait to be told what to do.
• Resourceful and good at figuring things out.
• Positive, personable, and solutions-oriented.
• Able to juggle multiple priorities without becoming overwhelmed.
• A strong communicator with excellent written and verbal skills.
• Tech-savvy and excited to learn new platforms, systems, and AI tools.
• Comfortable using Google Workspace, including Gmail, Calendar, Docs, Sheets, and Drive.
• Familiar with Canva and social media platforms, or excited and able to learn quickly.
• Comfortable handling both executive-level business matters and everyday personal tasks.
• Discreet and trustworthy with confidential professional and personal information.
• Collaborative and happy to be part of a team.
• Flexible when priorities or schedules change.
• Genuinely excited about unscripted television, casting, entertainment, pop culture, and social media.
• Someone who takes pride in doing things well - whether it's preparing for an important meeting or completing a simple errand.
Entertainment experience is a plus, but it is not required. We are willing to train a smart, motivated candidate with the right attitude and instincts.
SCHEDULE & LOCATION
This is a full-time, hybrid position based in Los Angeles.
The schedule is a combination of remote work and in-person responsibilities based on the CEO's schedule and current projects. There is not a traditional fixed in-office schedule, so flexibility is important.
Because the position includes occasional in-person errands, appointments, deliveries, and personal-assistant responsibilities, candidates who live in or near the San Fernando Valley are strongly preferred.
Candidates must have reliable transportation, a valid driver's license, and a clean driving record.
WHY THIS ROLE IS DIFFERENT
This is an opportunity to work closely with the CEO of an established, award-winning casting company and gain exposure to many sides of the entertainment business - casting, talent, social media, marketing, development, and the day-to-day operations of a creative company.
For the right person, this can be much more than an assistant job. We want someone who is excited to learn, grow, take on more responsibility, and become an important part of the team.
If you're ambitious, incredibly organized, love entertainment, aren't afraid to roll up your sleeves, and are the person everyone counts on to figure it out and get it done, we'd love to hear from you.
