Executive Personal Assistant to the Founder & CEO of Entertainment Media Company
West Hollywood, CA | Full-Time | Business Hours with Flexibility as Needed
Compensation: Up to $110,000 DOE, plus comprehensive benefits.
We are seeking an exceptional Executive Personal Assistant to support the Founder & CEO of a fast-paced, entrepreneurial entertainment/media company. This is a highly trusted, relationship-driven role for someone who thrives in a dynamic environment and enjoys seamlessly managing both executive and personal priorities.
The ideal candidate is polished, proactive, discreet, and thrives on anticipating needs before they arise. You are equally comfortable coordinating an executive's business-related logistics as you are managing the details of a busy personal life. No task is too large or too small, and you genuinely enjoy creating order, delivering exceptional service, and ensuring every detail is executed flawlessly. Key Responsibilities
Executive & Personal Support
Provide comprehensive personal support to the Founder & CEO while also assisting with select personal needs for the CEO's family.
Manage day-to-day personal logistics including appointments, reservations, errands, scheduling, and lifestyle management.
Coordinate personal appointments including wellness, beauty, medical, and other household-related needs.
Serve as a trusted liaison with family members, household staff, vendors, and personal contacts while maintaining complete confidentiality.
Partner closely with the House Manager and other household staff to ensure seamless communication between the office and home.
Coordinate personal travel logistics alongside the travel team, ensuring every itinerary is executed flawlessly.
Travel with the CEO as needed to provide on-the-ground logistical support.
Lifestyle Management & Hospitality
Coordinate restaurant reservations, private dining, entertainment, and special events.
Research and secure exceptional vendors, service providers, and unique experiences.
Build and maintain relationships with trusted vendors including florists, tailors, personal shoppers, wellness providers, hospitality contacts, and specialty service providers.
Maintain organized vendor databases, preference profiles, and service histories.
Ensure wardrobe logistics are coordinated for meetings, appearances, and events, working closely with stylists and related vendors.
Gifting & Relationship Management
Own and manage an extensive gifting program for professional and personal relationships.
Maintain annual gifting calendars and proactively identify important milestones and occasions.
Source thoughtful gifts, flowers, handwritten notes, and personalized gestures for clients, partners, family, friends, and employees.
Coordinate holiday gifting programs and special product launches.
Maintain detailed gift histories and recipient preferences to ensure thoughtful, personalized selections.
Office Hospitality & Guest Experience
Create an exceptional in-office experience for executives, clients, partners, and guests.
Coordinate daily hospitality including coffee, meals, refreshments, and meeting amenities.
Welcome high-profile visitors with professionalism, warmth, and discretion.
Prepare meeting spaces to ensure every detail is organized prior to arrivals.
Maintain guest preferences and ensure hospitality reflects the highest standards.
Operations & Administrative Support
Partner closely with the Senior Executive Assistant to ensure seamless coordination across business and personal priorities.
Assist with social media logistics, including photography, content support, and coordination with the marketing team.
Anticipate challenges, proactively solve problems, and confidently manage changing priorities.
Coordinate special projects, office initiatives, and vendor relationships as assigned.
Maintain organized systems, databases, spreadsheets, and documentation to support ongoing operations.
Qualifications
5+ years supporting a Founder, CEO, entrepreneur, celebrity, or ultra-high-net-worth principal in an Executive Personal Assistant or Personal Assistant capacity.
Exceptional organizational skills and meticulous attention to detail.
Outstanding judgment, discretion, and professionalism.
Strong communication skills with the ability to build relationships across executives, family members, vendors, and VIPs.
Highly resourceful, proactive, and able to solve problems independently.
Advanced proficiency with Google Workspace, Microsoft Office (particularly Excel), Canva, and AI tools including ChatGPT and Claude.
Extensive knowledge of Los Angeles and its restaurants, venues, vendors, and lifestyle resources.
Valid driver's license and reliable transportation.
Preferred Background
Experience supporting founders, entrepreneurs, entertainment executives, athletes, or other high-profile principals.
Hospitality, luxury service, concierge, or lifestyle management experience is highly desirable.
