Seeking a highly organized, detail-oriented, and resourceful Personal Executive Assistant to support a high-profile fashion model, entrepreneur, and mother based in Brentwood, Los Angeles. The ideal candidate will serve as the right hand to an executive immersed in the fashion, beauty, and luxury lifestyle space-someone whose days are a balance of business, brand-building, travel, photoshoots, family life, and creative direction. This is not your typical 9-to-5. It's a dynamic, fast-paced, ever-evolving role that calls for someone sharp, warm, unflappable, and endlessly adaptable. You will be trusted with both personal and professional tasks-managing complex schedules, overseeing travel logistics, handling communications, and ensuring the executive's life runs smoothly and efficiently behind the scenes.
A strong grasp of the fashion and beauty industries is highly preferred, as is a working knowledge of social media culture. You'll work closely with agents, stylists, brand partners, glam teams, PR agencies, and a growing team behind a newly launched beauty brand. Responsibilities
Schedule Management
• Own and maintain a fast-moving calendar, scheduling professional meetings, press interviews, content shoots, and events with precision.
• Coordinate personal appointments including glam, workouts, facials, health appointments, and wellness sessions.
• Optimize time blocks and buffer zones to ensure flow and reduce burnout across days.
• Provide timely reminders, printed daily itineraries, and proactive adjustments as plans evolve.
Travel Coordination
• Plan and book all travel needs including flights, hotels, airport transfers, and on-the-ground logistics-often across multiple time zones.
• Create detailed travel itineraries with confirmation numbers, local contacts, time zone adjustments, etc.
• Assist in packing and prepping for trips (think: outfits, essentials, shoot gear, baby gear, etc.).
• Occasionally accompany on travel as needed to ensure seamless execution on location.
Content & Social Media Support
• Assist with location scouting, concept planning, and logistics for social content, especially for TikTok, Instagram, and YouTube.
• Keep a pulse on digital trends, TikTok audios, and what's resonating in the beauty and lifestyle spaces.
• Provide light support during content creation days-styling, note-taking, capturing BTS, or liaising with the creative team.
• Assist with scheduling or organizing social content calendars across multiple platforms.
Project & Brand Management
• Support ongoing brand partnerships, influencer collaborations, and business ventures by ensuring timelines, deliverables, and communications stay on track.
• Liaise with agents, brand teams, publicists, and the internal beauty brand team to ensure seamless operations.
• Support product development or campaign rollout details, working alongside consultants, chemists, and creatives.
• Track incoming contracts, creative approvals, and product shipments.
Communications & Correspondence
• Draft, edit, and send professional emails to agencies, brands, and collaborators.
• Serve as the point of contact for inbound opportunities and vet requests before escalating.
• Maintain discretion and tact when handling sensitive information or conversations.
• Occasionally answer personal messages or DMs in a professional yet authentic tone of voice.
Events
• Coordinate all aspects of professional appearances-red carpet events, beauty campaign shoots, fashion week invitations, etc.
• Manage RSVPs, schedules, fittings, glam call times, transportation, and press notes.
• Organize intimate gatherings or work events (team dinners, holiday gifting, etc.).
• Prepare day-of materials, seating charts, lookbooks, or shoot rundowns when applicable.
Financial & Administrative Oversight
• Organize and submit invoices, manage expense reports, and track business-related spending.
• Ensure proper documentation for all brand deals, contracts, NDAs, and beauty brand files.
• Coordinate wire transfers, tax forms, and payment timelines with accountant and business manager when needed.
• Maintain a digital filing system and occasional physical document organization.
Team & Household Liaison
• Act as the connective tissue between the executive and her extended team-stylists, makeup artists, photographers, management, and household staff.
• Coordinate schedules, share updates, and keep all parties aligned and in the loop.
• Work in sync with a part-time home manager/family assistant to manage overlapping responsibilities with grace and teamwork.
• Handle gifting, reservations, returns, PR packages, errands, and special gestures that add a thoughtful, elegant touch to everyday life.
Office & Personal Organization
• Keep workspaces stocked, streamlined, and serene.
• Organize packages, returns, gifting closets, skincare drawers, and daily essentials.
• Help create systems that keep the personal and professional spheres integrated but not chaotic.
• Support seasonal closet edits, glam bag updates, or shoot prep as needed.

• Detail-Oriented: You catch typos, spot double bookings, and notice when something's off-before anyone else does.
• Flexibility: This job isn't 9-5. You may be needed on evenings or weekends depending on shoots, events, or travel.
• Proactivity: Anticipate needs, streamline processes, and prevent problems before they arise. You're five steps ahead, always.
• Tech Savvy: Strong knowledge of Google Suite, Slack, social media apps, task tools (like Asana or Trello), and modern productivity platforms.
• Aesthetic Awareness: You have great taste, a strong eye for visuals, and understand the nuances of luxury branding, fashion shoots, and digital storytelling.
