We are looking for an experienced, highly motivated, positive and service minded Executive Assistant. You will be working closely with a very private, busy artist and assisting personal support for a working mother of one. This role will assist with in heavy scheduling, travel, research and more in a very fast paced environment. This will be a full-time position with compensation dependent on prior experience.
RESPONSIBILITIES:
+ Oversee a busy calendar for family-oriented entertainment-industry couple (artist husband and manager wife)
+ Maintain multiple calendars and compile schedules/travel itineraries as needed
+ Arrange travel (commercial and charter), including transportation, hotel and any special needs in the US/International.
+ Process internal admin documents and manage execution of special projects across team members
+ Errand-running and ordering supplies for home ensuring house is at an impeccable level
+ Travel frequently and support the executive's day-to-day activities
+ Create written responses/replies by phone or email when necessary
+ Keep closet and personal items in house organized
+ Can represent the artist and brand in a positive manner during public events, phone calls etc.
+ Personal support for the artist on site
+ Manage personal and business rolodex + sourcing contact info where needed
+ Capturing iPhone content based on the artist's daily life (as needed)
+ Assist with special projects, research and compile information as needed.
REQUIREMENTS:
+ 3+ years experience as a professional Executive Assistant for a professional in the Entertainment industry.
+ International travel experience with a valid US Passport and valid license.
+ Candidate must have previous experience working in a luxury & fast paced environment.
+ Great telephone etiquette
+ Actively listen and respond to questions, comments, concerns and requests to resolve issues and build trust.
+ Ability to work with and maintain confidential information
+ Speak using clear, appropriate and professional language
+ Resourceful: client may have special projects where assistant needs to act independently to track down resources and information
+ Utilizes a variety of communication techniques tailored to each situation and is comfortable conversing with individuals from a variety of backgrounds and at all levels within an organization.
+ Understanding of privacy and discretion.
+ Willingness to go above and beyond to get something done.
+ Comfortable around children. CPR certification is a plus
