Overview:
An Entertainment Executive is seeking a highly organized and proactive Personal/Office Assistant to support a busy household and thriving business. The ideal candidate will be a self-starter with exceptional organizational skills, discretion, and a ''no task is too big or small'' attitude. Prior personal assisting experience is required, experience on an agent/manager's desk in the entertainment industry is required, and flexibility in assisting with both personal and professional tasks is essential.
Key Responsibilities:
Personal Assistance: Oversee personal tasks like coordinating children's extracurricular activities, school activities, and household needs. Assist with occasional overnight stays for school drop-offs during times when principal is traveling.
Calendar & Scheduling: Manage calendars for the principal and family (including 2 teenaged-children), coordinate meetings, events, school, and appointments with attention to detail.
Travel Coordination: Arrange travel logistics, including flights, accommodations, and itineraries while anticipating needs for the principal, family, and clients.
Communication: Manage all incoming communications (emails, calls) with discretion, prioritize urgent matters, and ensure timely responses.
Reading & Coverage: Read incoming scripts for clients and provide written coverage to help prioritize the Talent Manager's reading. This is essential.
Confidentiality: Handle sensitive information with the utmost professionalism and discretion.
Task Management: Assist with personal and professional projects, track deadlines, and ensure follow-up on action items.
Qualifications:
1-2 years of personal assistant experience required
1 year of agency or management desk experience required
Strong organizational, communication, and time-management skills.
Ability to manage complex schedules and adapt to changing priorities.
Highly discreet with a professional, proactive approach.
Flexibility to accommodate occasional personal assistance needs, including childcare and occasional overnight stays.
Valid driver's license and reliable transportation required
Salary: Competitive, commensurate with experience. Health insurance, PTO, and opportunities for career growth.
Commitment: 18 months minimum
This position is in-person daily in the South San Fernando Valley. Please do not apply if you're unable to work in-off daily in the South SFV.
